Document Inbox View page

The following tables describe the different areas of the Document Inbox View page, including the following areas:

Mailslot

Button or Field Description
Mailslot Identifier for your mailslot. An optional description displays for the mailslot, if a description was indicated when creating or editing a user account.
Search Funct Group Functional group that you want to locate.
Document Document type that you want to locate—for example, invoice (810) or purchase order (850).
From and To Date/Time Date and time in MMDDYY HHMM format that you want to locate mailslot information.
Note: Enter all dates and times without colons, commas, and slashes.
Refresh Update the page display. If no other criteria on the page has changed, selecting Refresh updates the view with the most current date and time.
Download Document Inbox View Enables you to create a user-run report that returns all of the information displayed on your Document Inbox View page. Select the output from .xls, .csv, .xlsx, or .xltx.
Business Doc # Number that identifies the document business information — for example, a PO number, invoice number, or shipment number.

Interchange

Button or Field Description
Change Status? After you click Reload to Mailslot, Mark as Picked Up, or Redial, the status of a document is reset. You cannot use the Change Status? check box if the document is unavailable, if the status is incomplete, error, or dialing, or if the owner of the mailslot is the sender of the information.

Note: Use Select all or Clear all to select or deselect all documents on the page. If the check box is not available, this document cannot be picked up or restored from the Document Search page.
Picked Up Date and time this document was picked up.
Loaded Date and time this document loaded into the mailslot and became available to the receiver.
Status Current status of the interchange. Status values depend on how you (if you are the receiver) or your trading partner (if you are the sender) for that interchange receives data.

If B2B Integration SaaS automatically pushes data out to you or your trading partner (also known as event-driven), the following status values are available:

Archived
Interchange is saved in Sterling Document Tracking. To view archived data, click the interchange control number.
Dialed
Interchange was dialed out to your system.
Dialing
Interchange is being dialed out to your system.
Reloaded
Interchange is being reloaded, which is the first step in being dialed to your system again.

Available
Interchange is ready for download.
Dialed
Interchange was dialed out to your system.
Dialing
Interchange is being dialed out to your system.
Loading
Interchange is currently loading into the mailslot.
Pick Up Pending
Interchange is pending for download to the receiver.
Picked Up
Interchange has been downloaded to your system.
Rejected
The recipient received the message but was unable to extract its contents.
Reload Pending
Interchange is pending for reload to mailslot.
Reloaded
Interchange has been reloaded and can be downloaded again.
Undeliverable
B2B Integration SaaS is unable to deliver the message to the intended receiver.
Interchange Control# Interchange control number associated with the document. To view the batch summary details for this interchange, click the interchange control number. For more information, View Data page .
Funct Group Functional group type consisting of a one-character industry code and a two-character functional ID. To see a sample list of functional group types, see Functional group types .
Document Document type—for example, invoice (810) or purchase order (850).
Business Doc # Number that identifies the document business information—for example, a PO number, invoice number, or shipment number.
Sender Name Name of the sender of the document.

If you reload an archived interchange, status messages display in this field. For more information, see Reloading to your mailslot (for picked-up data only) .

Sender ID Unique identifier for the sender of the document. To view details about this sender, click the ID to transfer to the Look Up Trading Partner page. On this page, the Company Name and Value Added Service Provider associated with that Qual/Sender ID displays. For more information, Looking up a trading partner.
Batch Identifying number on B2B Integration SaaS associated with the interchange batch number.
File Name The file name specified for the batch by the originator.
Note: This column displays only if a stored file name is associated with the batch and if your mailslot is set up to preserve file names.
Mailbag Control# Unique identifier for a mailbag batch associated with a mailbag receiver.
Note: This field displays only if a mailbag control number is present. However, in most cases, a control number is not present.
Select all Selects all documents on the page.
Clear all Deselects all documents on the page.

Function

Button or Field Description
Reload to Mailslot Applies only if you receive data by picking it up from your mailslot. Click this button after checking the Change Status? check boxes next to all the documents you want to reload, if authorized. For more information about reloaded interchanges, see Changing interchange status .

Mark as Picked Up Applies only if you receive data by picking it up from your mailslot. Click this button after checking the Change Status? check boxes next to all the documents you want to mark as picked up or downloaded, if authorized. For more information, see Changing interchange status .

First Page Returns to the beginning of the Document Inbox list.
Page Up Returns to the previous page of the Document Inbox list. To go back to the first page of this list, click First Page.
Page Down Moves to the next page of the Document Inbox list.
