Diversification is often a good business strategy, bringing new opportunities and markets within reach. But with your lines of business multiplying, how can you prevent barriers springing up that prevent effective collaboration across your organization?

Syed Sulthan Ahamed, IBM Collaboration Solutions Consultant within the Juffali Information Systems Centre at Juffali, picks up the story: “Juffali operates in many sectors, including automotive, technology, chemicals and construction, among others, which has led to more than 20 divisions of the company emerging. We also manage projects across Saudi Arabia. It was becoming increasingly difficult for employees to collaborate effectively across divisions and large geographical areas.”

Previously, Juffali’s employees were limited in the ways they could share information: they could speak face-to-face, on the telephone, or send documents via email. Usually, email was the preferred method of communication, and this came with its own challenges.

“When more than one person is working on a document that is being emailed around, you can quickly end up experiencing problems with version control,” comments Ahamed. “We were not giving our workforce the tools to inspire or facilitate collaboration – we knew that there must be a better approach.”

Uncrossing wires

Juffali transformed the way its employees collaborate with each other and selected third parties by deploying a suite of IBM collaboration tools: IBM® Connections™, IBM Connections Docs and IBM Sametime®.

“The IBM solutions give us an enterprise social network platform that enables users to communicate wherever they are in the organization or country,” explains Ahamed. “We received plenty of support from IBM Software Services for Collaboration during the implementation process, and were able to roll out the solutions in just a couple of weeks. Afterwards, the IBM team helped us train some super-users to spread the word to their colleagues, which helped to ensure quick user adoption.”

Employees can now set up online communities, which provide digital workspaces for project management. With IBM Connections Docs, they can collaboratively edit and comment on documents in real time.

“IBM Connections makes it very easy to create a community and invite members both from inside and outside the organization,” elaborates Ahamed. “By setting up parent and sub communities, we can offer managers oversight of what their employees are doing. Co-editing documents with Connections Docs has been a real game-changer, as we never have to worry about ending up with multiple versions of the same file.

“Members of the same community can connect to each other very easily, making setting up meetings very simple. And across Juffali, if employees need to reach a colleague urgently, instant messaging is a great tool. Some of our most engaged users have embraced the social networking aspect of the solutions, posting achievements and updates.”

Using IBM Connections Content Manager, Juffali set up a file repository with rich social networking and content management capabilities. Ahamed adds: “We now have much better control over content creation and access rights. With so many projects, it used to be difficult to track down the right file – with IBM Connections Content Manager, it’s easy.”

Before, employees working on a project had to stay on top of documents sent via email and had difficulties communicating. Now, they have everything they need in one place to get the work done quickly and accurately.

By removing obstacles to collaboration, Juffali offers its workforce the tools to work more effectively.

“It doesn’t matter which division our employees belong to, or where they are, the IBM solutions help us ensure they stay connected,” says Ahamed. “In this way, we can encourage greater employee productivity and even foster innovation. As Juffali continues to enter new markets and expand its portfolio, this is an important strength.”

Connecting employees also helps Juffali to make better use of resources, preventing silos of knowledge.

“The IBM solutions help us to bridge the gaps between divisions so that expertise is shared throughout the organization,” comments Ahamed. “Specifically, our new file repository enables us to securely share content, so that anyone authorized can access the information they need. Managers also have greater insight into projects that are managed via online communities, so they can keep better keep track of how employees are doing, and where they are best assigned.”

Finally, Juffali has seen an impact on process efficiency since deploying the IBM solutions, with the ability to drive projects to completion at greater speed.

Ahamed concludes: “Before, employees working on a project had to stay on top of documents sent via email and had difficulties communicating. Now, they have everything they need in one place to get the work done quickly and accurately. The IBM collaboration tools are playing a key role in helping Juffali meet the challenges and make the most of the opportunities of the future.”
