Device Inventory

The Device Inventory page provides a comprehensive list of all enrolled devices in the IBM® MaaS360® Portal.

You can track device information such as device names, username, device model, operating system, management status, enrollment date, and last reported status. It provides an overview of your device fleet and runs various actions, such as sorting, filtering, searching, and applying bulk actions to multiple devices simultaneously.

The Device Inventory page displays the devices that are actively consuming a license. It implies that MaaS360 displays only enrolled devices that are active and have licenses that are assigned to them. The devices that are managed by the User removed control status and mailbox synced devices are not part of this view. You can use device filters to view devices on other states in this page. If the Remove Control action is pending for a device, the license is revoked when the device receives the action. However, if there is a delay in running the Remove Control action for an extended period, you must perform the Hide action to immediately remove their licenses. Since these devices actively consume licenses, they remain included in the device count that is displayed on the home page until they are hidden in the MaaS360 portal.

The Device Inventory page includes the following information for each device:
Column Description
Device Name The name or identifier of the device. By default, MaaS360 uses the combination of username and device model number as a device name. For information on changing the device name, see Assigning custom device name in MaaS360.
Username The associated user or owner of the device.
Platform The operating system that is installed on the device.
Operating System The operating system version that is running on the device.
Device Model The device model or device type.
Installed Date The timestamp when the device is enrolled in MaaS360.
Last Reported The timestamp indicating the last communication or activity from the device. The last reported status is indicated with a color code: green indicates that the device was reported less than three days ago, yellow indicates that the device was reported between three and fourteen days ago, and gray indicates that the device was reported more than 14 days ago.
Email Address The email address of the user who is associated with the enrolled device.
Managed Status The status of the device enrollment.
Ownership The ownership type of the device, such as corporate-owned or personally owned.
Compliance Status The compliance status of the device that indicates whether the device meets the security and policy requirements of the organization.
MDM Policy The MDM policies that are applied on the device.
Device Registration Date The timestamp when the device was last enrolled in the MaaS360 portal.

Customizing Device Inventory layout

MaaS360 allows you to personalize how device information is displayed and organized on the Device Inventory page. You can to include or exclude columns, and rearrange their order according to your preferences. For example, you can include the Ownership column and exclude the Installed Date column from the layout.

Follow these steps to customize the Device Inventory layout:
  1. Under the Device Inventory layout, click Customize Columns.
  2. Select the columns that you want to include and clear the columns that you want to exclude. Hold and drag the columns to rearrange their order.
  3. Click Save.

Searching a device

The search function on the Devices page searches for devices by their names. When you enter the device name in the search field, MaaS360 filters the device list and displays only the devices that match the entered name.

Follow these steps to run a search:
  1. Click the Device Name column on the Device Inventory page.
  2. Enter the device name in the search bar and then click the search icon.

Device Inventory view actions

MaaS360 supports various actions that you can perform on individual or multiple devices.

Common actions

These following actions are displayed at the upper-right corner of the Device Inventory page:
  • Add Device: Initiates the enrollment process for new devices directly from the Device Inventory page.
  • Locate Active Devices: Trigger a location-based request to determine the real-time or most recent location of the active devices.
  • Device Enrollment Settings: Redirects you to the Directory and Enrollment settings page.

Device-specific actions

The actions such as View, Locate, Message, and Hide are displayed below the device name on the Device Inventory page. For the complete list of remote actions, see Device details view

Bulk actions

You can issue bulk actions to multiple devices simultaneously. The following bulk actions are displayed when you select multiple devices on the Device Inventory page:
  • Unselect All: Clears the selection.
  • Locate: Trigger a location-based request to determine the real-time or most recent location of selected devices.
  • Save as Group: Creates a new device group based on the selected devices.
  • Distribute Doc: Distributes a file (document, spreadsheet, or slide show) to the selected devices.
  • Send Message: Sends a message to the selected devices.
  • Update Certificate: Updates or republishes the device identity certificates on the device. Applicable only to devices that are integrated with the Cloud Extender Certificate Integration module.

Exporting devices

MaaS360 allows you to generate a report or extract device information in XLSX or CSV (comma-separated values) format. The exported file contains device information based on the customized layout and filters applied to your Device Inventory layout. To export the device information, click the Export option on the Device Inventory layout.
Note: Exporting a specific set of selected devices from the Device Inventory is not supported.
