Verifying clients are not already registered

To avoid duplicate registrations, ensure that you search for existing clients before you register a client. You can search only Watson Care Manager for clients or you can extend your search to an external application that is integrated with Watson Care Manager. By searching both applications, you can find clients who are registered only in the external application who may need to be registered for care management in Watson Care Manager.

About this task

The default display format in client search pages is: Last Name, First Name. The display format might be configured to reflect a First Name Last Name display

Searches for a client's gender or date of birth need extra search criteria to uniquely identify the client. You can search for a client by identification type and number, email, phone number, or the last four digits of their social security number without any other search criteria.
Important: When searching both applications for clients by identification type and number, only searches by Reference Number identification type, and configured identification types that apply to the external application will find clients who are registered in that application.

If you search for clients who are registered only in Watson Care Manager, you can search by all of the types of identification that are configured by your organization. For example, if a Passport identification type is configured, you are able to search for the client by entering those specific identification details.

Procedure

  1. From the Side Navigation menu, select Clients > Register.
    The Register Client wizard (Page 1) opens.
  2. Enter your search criteria to verify that the client is not already registered in Watson Care Manager.
  3. Choose a Search Type.
    • All (Default) - Searches for clients in Watson Care Manager and an application external to Watson Care Manager.
    • Watson Care Manager - Searches for clients who are registered in Watson Care Manager only.
  4. In the Search Results pane, the Registered column indicates whether the client is already registered in Watson Care Manager. Yes means the client already registered. No means the client is not already registered.
    Note: PHI that you are not authorized to see, such as address and status is indicated by asterisks in the Search Results pane. In addition, the link to the client's Summary View in the results is not available when the client is not registered in Watson Care Manager.

  5. Choose an option.
    • If the client is not already registered in Watson Care Manager or the other application, click Next and complete the steps in Manually registering clients.
    • If the client is registered in the other application only, you can automatically register the client.
      1. In the Search Results pane, click the Actions menu for the client that you want to register.
      2. Click Register Client.
      3. Complete the steps in Automatically registering clients.
