Sterling Document Tracking navigation

The Sterling Document Tracking interface makes navigation between functional areas of the tool quick and intuitive. Throughout the interface, navigation aids, such as links, menu organization, and task flow are generally consistent.

The following figure shows typical components that make up the interface and enable navigation:

Note: Depending on your mailbox setup or profile, your view might be different and some options might not be available in your view.

Interface components

The interface components include the following:

Menu
Displays menu options that enable you to do the following tasks:
  • Access additional interface pages and perform actions in Sterling Document Tracking and Document Visibility after registration.
  • Access the online help. For more information, see Sterling Document Tracking.
  • Enable you to sign off of Sterling Document Tracking.
  • For more information, see Menu options and drop-down selections.
Drop-down menu
Provides drop-down selections from the menu, when applicable. The following menu options include drop-down selections:
Views
Displays Inbox, Outbox Summary, Outbox Detail, Search, Document Inbox, Document Outbox, and Search Document.
Options
Displays Profile Setup, User Name Admin (displays only for accounts with administrator access), Feedback, and Link mailslot to xxxxx@yourcompany.com, where xxxxx@yourcompany.com represents your email address.
ID Maintenance
Displays Look Up Partner, EDI ID List, EDI ID Maintenance, and Interconnect ID Maintenance.
Note: Only users whose access type permits EDI ID Maintenance and Interconnect ID Maintenance will see these features.
Help
Displays Online Help and Overview Demo. For more information, see Menu options and drop-down selections.
Sorting
The arrow next to the column heading indicates which column is being sorted. To sort columns in ascending order, click the column heading in the information table. To reverse the order, click the column heading again.
Check box
Enables you to select a specific interchange or trading partner and perform actions. This is used with the following buttons:
  • Reload to Mailslot
  • Mark as Picked Up

Note:
  • You can select multiple interchanges or trading partners.
  • Only users whose access type permits this functionality will see this column.
Select all and Clear all
Enables you to perform functions for all interchanges or trading partners on the page. The options include the following:
Select all
Selects all interchanges on the page. If there is no data on the page to pick up or reload, this option is unavailable.
Clear all
Deselects all interchanges on the page. If there is no data on the page to pick up or reload, this option is unavailable.
Note: You can select or clear multiple interchanges or trading partners.
Buttons
The following buttons enable you to perform functions in the interface, such as reloading data to a mailslot, accessing additional pages of records, and navigating the interface. These buttons include the following:
Reload to Mailslot
Applies only if you receive data by picking it up from your mailslot. Click this button after checking the Change Status? check boxes next to all the interchanges you want to reload. For more information about reloaded interchanges, see Changing interchange status.When you use Reload to Mailslot, you must select the check box next to the interchange to perform the respective action.
Mark as Picked Up
Applies only if you receive data by picking it up from your mailslot. Click this button after checking the Change Status? check boxes next to all the interchanges you want to mark as picked up or downloaded. For more information about reloaded interchanges, see Changing interchange status.When you use Mark as Picked Up, you must select the check box next to the interchange to perform the respective action.
Redial
Applies only if data is dialed to you automatically. Click this button after checking the Change Status? check boxes next to all the interchanges you want to redial. For more information about redialed interchanges, see Changing interchange status.
Back to Outbox Summary
Returns to the Outbox Summary View page. For more information, see Viewing Outbox Batch Detail.
First Page
Returns to the beginning of the record list. This button also refreshes the data.
Refresh or Search
Updates the page display when the search criteria has changed.
Page Up
Returns to the previous page of the record list.
Page Down
Moves to the next page of the record list.
Download <page name> View
Enables you to create a user-run report that returns all of the data that matches your search criteria in the same format as it is displayed on the view page, up to a system-defined number of records (currently 5000). Select the output from .xls, .csv, .xlsx, or .xltx.
Printer-Friendly
Formats data to a layout easier to read in print.
Link mailslot to xxxxx@yourcompany.com
Associates a user account to a mailslot, where xxxxx@yourcompany.com represents the email used to set up a user account.
Information table
Lists the records of interchange data, such as the interchange control number, status of the interchange, sender and receiver information, and batch information.
Link
Provides quick navigation links to additional interchange information. Underlined data within columns indicates that you can access additional information. The following columns typically provide links in Sterling Document Tracking:
  • Interchange Control#
  • Funct Group
  • Receiver ID
  • Sender ID
  • Batch (View Data link)
  • Document (when applicable)
  • View Interchange Detail (when applicable)
  • File name (when applicable)
Field
Enables you to enter data to perform searches and access specific trading partner information.

Menu options and drop-down selections

The menu options and drop-down selections access the interface pages and enable you to perform Sterling Document Tracking actions. Sterling Document Tracking includes the following menu options and drop-down selections:

Views
The Views menu provides the following drop-down selections:
Inbox
Displays the Inbox View page that enables you to view and perform actions for interchanges received from trading partners.For more information, see Inbox View.
Outbox Summary
Displays the Outbox Summary View page that enables you to view and perform actions for interchanges sent to trading partners.For more information, see Outbox Summary View.
Outbox Detail
Displays the Outbox Detail View page that enables you to view interchanges sent to your trading partners.
Search
Displays the Search page that enables you to enter a combination of criteria to perform a search for mailslot information.For more information, see Searching for mailslot information.
Activity
Displays information about recent documents you have sent or received. After registering for Document Visibility, the Views menu provides the following additional drop-down selections:
Document Inbox
Displays the Document Inbox View page that enables you to view and perform actions for documents received from trading partners.
Document Outbox
Displays the Document Outbox View page that enables you to view documents sent to trading partners.
Search Document
Displays the Document Search View page that enables you to enter a combination of criteria to perform a search for mailslot information at the document level.For more information, see Document Visibility overview.
Options
The Views menu provides the following selections:
Profile Setup
Displays the page that enables you to maintain your own user name profile.For more information, see Profile setup.
User Name Admin
Accesses pages to manage user accounts for Sterling Document Tracking access and security (displays only for authorized users).
Link mailslot to xxxxx@yourcompany.com
Associates a user account to a mailslot, where xxxxx@yourcompany.com represents the e-mail used to set up a user account.
ID Maintenance
The ID Maintenance menu provides the following drop-down selections:
Look Up Partner
Displays the Look Up Trading Partner page that enables you to enter a combination of criteria to look up specific trading partner information. For more information, see Looking up a trading partner.
EDI ID List
Displays a list of EDI IDs associated with a mailslot.
EDI ID Maintenance
Enables you to add EDI IDs and qualifiers to a mailslot (displays only for authorized users).
Interconnect ID Maintenance
Enables you to add EDI IDs, qualifiers, and a company name to a selected interconnect (displays only for authorized users).
Alerts
The Alerts menu provides the following drop-down selections:
Create Alerts
Enables you to create new alerts. All users except Select Access users without Volume Alerts authority have access to this menu.
View Alerts
Enables you to see alert setups. All users have access to this menu.
Note: For more information about alerts, see Volume threshold alerts.
Register for Document Visibility
Register for Document Visibility displays the page to register for Document Visibility. Document Visibility is an extended service provided on the B2B Integration SaaS to enable you to track data exchanged at the document level. After registration, this menu option no longer displays. However, the following additional selections display in the Views menu:
  • Document Inbox View
  • Document Outbox View
  • Search Document

Help
The Help menu provides the following selections:
Online Help
Accesses the online Help that supports Sterling Document Tracking.
Overview Demo
Accesses a flash presentation that provides an overview of Sterling Document Tracking.
Sign Off
The Sign Off selection enables you to sign off Sterling Document Tracking.
