Audits and surveys
To evaluate compliance with industry-related regulations or with internal regulations, you can use audits. You can use either audits or surveys to evaluate locations and assets for regulatory compliance.
All of the audit or survey responses are calculated and displayed to authorized personnel as a summary at the header of the record.
When you conduct audits or surveys, you use questionnaires to gather the data. You formulate the questionnaires, depending on the objectives of the audit or the survey.
You can analyze the resulting data to determine the current level of safety in the workplace. You can use the results to identify areas for improvement. You can also use the results to analyze the level of involvement of employees with health and safety issues. Developing good organizational practices that relate to safety can lead to the continued maintenance of a safe workplace and to the prevention of accidents.
You might find that you need to conduct a reaudit. You can specify that a reaudit is essential, when the reaudit was conducted, and when it was completed.
Starting in 9.2, assign inspections to specific individuals or groups to reduce unnecessary downloads of unassigned inspections to mobile devices. New fields in the inspection results identify the assigned owner and owner group for each inspection. The application uses this information to route inspections to the appropriate person. Audits and surveys and permit or certificate types
Audits and surveys are frequently used with permit or certificate types. Permits or certificates might be essential to ensure that personnel are qualified to do the activities that are associated with an audit or a survey. You might also decide to audit the process that is associated with a type of permit or certificate.
You can also associate an audit or a survey with a certification.
Audits and surveys and service requests
An audit or a survey might require a service request as a follow-up action. You can create a follow-up service request from an audit and survey record. The service request number displays in the Related Records tab of the Audit and Survey application.
In the Service Requests application, the Location, Asset, and Description fields from the originating audit and survey record are populated. You can add fields from the Audit and Survey application to the service request or remove fields from the service request by using the Domains application.
Audits and surveys, and meters
You might need to add meter readings to track the performance of an asset or a location that is associated with an audit or a survey. A meter is a device that is designed to measure time, distance, speed, or intensity. A meter can also indicate and record or regulate an amount or volume, such as the flow of a gas or an electric current.
You can record manual meter readings for an asset or a location, including the names for the meters and the sets of attributes that describe the meters. An asset or a location can be associated with multiple meters. You can update meter readings and review previous readings.
Starting in 9.1, you can add inspection details such as Inspection Forms that are associated with an asset or location and Inspection Results for an incident on the Meters page.
Audits and surveys, and workflow processes
You can create workflow processes that reflect your business processes. A workflow process defines the actions and the notifications that can occur at different points in a business process. You can manage the movement of a record through a process from start to finish. You can instruct individuals to act on records, ensure that individuals act in a timely manner, and ensure that an audit trail exists for each record and process. You use the Workflow application to plan, design, build, test, implement, and manage workflow processes.
For audits or surveys, you can create a workflow process to track the completion of an audit or a survey. You can have the workflow process notify you when the audit or the survey is complete. You might also create a workflow process that is based on the roles of team members, such as audit leaders or participants.
