Using the AI assistant

Starting in 9.1, you can use the Maximo AI assistant in Maximo Manage, Maximo Health, Operational Dashboard, and asset dashboards. The assistant can respond to prompts about work orders, service requests, and assets. If you are using the feature channel, the assistant can respond to prompts about other Maximo business objects. Before you can use the assistant, an administrator must set up an AI configuration for the assistant.

The Maximo AI assistant is not a general-purpose AI assistant or chat bot. It is an enterprise tool that is integrated with Maximo Application Suite.

Your administrator can limit what types of prompts that the assistant can respond to. For example, if your administrator restricted the assistant's access to asset data, the assistant cannot answer questions about assets. Accessing the assistant

The assistant appears in the lower right corner of the interface. You can drag and drop the icon to different areas on the user interface, but the assistant chat window always opens on the right-hand side of the page.

Note: If you are using the Maximo Application Suite customer-managed feature channel, starting in the December 2025 update, the AI assistant is accessed from an icon in the page header in Maximo Manage, Maximo Health, Operational Dashboard, and asset dashboards. The chat window opens on the right-hand side of the page. If the assistant requires time to respond to a question or request, you can close the chat window. The assistant continues working, and the icon notifies you when the work is done.

Best practices

A prompt can be a question or a request, for example, What are my top 10 at-risk assets? or Show me my top 10 most at-risk assets.

Use a complete and well-formed sentence. For example, instead of open work orders, use Show me all open work orders.

You can use common abbreviations, for example WO for work order or SR for service request. If the assistant does not understand an abbreviation, contact your system administrator. The system administrator can complete prompt tuning to enable the assistant to understand abbreviations.

Prompt examples

Your administrator can limit what types of prompts that the assistant can respond to. For example, if your administrator restricted the assistant's access to asset data, the assistant cannot answer questions about assets.

The assistant cannot provide data that you do not have access to. If data is incomplete or contains errors, such as work orders that are missing descriptions or have incomplete descriptions of work, the assistant might not locate or properly represent that data. The assistant cannot automate tasks or create or edit data in your system. The assistant cannot answer general questions or requests, such as questions about how to use Maximo products or requests for IBM Support.

The following list contains some prompt examples. The prompts are intentionally varied in structure and tone. The prompts are examples and do not reflect all supported prompts or prompt types.

Troubleshooting
