In the end- to-end ECM solution IBM Redbooks publication, we cover a number of technologies from the ECM portfolio. One of these technologies is IBM Datacap to provide ingestion of content from your customers.
IBM Datacap is a powerful tool for capturing content from a variety of entry points in differing formats and extract indexing and application data, for storage into various backend systems. It helps eliminate labor-intensive document preparation and manual data entry, thus, expediting the capture process, as well as improving data accuracy.
IBM Datacap Taskmaster can :
- Capture content from a variety of ingestion points, including scanners, multifunction devices (MFDs), fax servers, email systems, web enabled mobile devices, and file systems.
- Capture machine print, handprint, checkbox and bar code data using multiple recognition engines (OCR/ICR, OMR) to reduce manual data entry.
- Apply validation routines and methods using database lookups, mathematical calculations, patterns, and check digits to ensure data accuracy.
- Integrate with a variety of IBM and non-IBM ECM repositories, including IBM Content Manager, IBM FileNet Content Manager, IBM FileNet Image Services, OpenText LiveLink, EMC Documentum and Microsoft Sharepoint,.
In the book, we cover the considerations of using mobile devices to capture content on the edge, along with the capabilities it delivers to your customers. This builds upon the capabilities that the product offers in both the central and distributed capture approach.
We also cover the developments made in IBM Datacap to simplify and expedite building of your capture applications. To illustrate this, we build out a use case with Datacap FastDoc to build a simple mobile and desktop capture application. We tie this in with more advanced topics to harness the real power of Datacap, such as how to build additional functionality with custom action scripts and the possibilities of including IBM Content Classification to add further intelligence to the process.
Why Mobile Capture
Traditional paper capture approaches rely on the customer either posting or delivering their mail to a central address or branch office for scanning or even further couriering. This adds time and risk to the overall process:
- Time : The post may take 24hr+ to transport, and even further time before actually being scanned and entering the Line of Business systems for action. It can also lack traceability in mailing process providing the customer with no knowledge of expected time frames for processing.
- Risk : Due to the nature of the process, there is the possibility of mail going missing, being lost, stolen or otherwise compromised.
Customers expect their requests to be actioned more rapidly than ever before. Historically customers may have used a cataloge to browse for product purchases and then mailed an order in a central address. A 21+ day turn around was the norm. Similarly sending a letter to a company for updating address details or to complain would have turned around in few days. However, in the modern world of Internet and email, these time frames are no longer deemed acceptable. Ordering of products online will come with the possibility of rapid < 24hr delivery times. Responses to emails are expected much quicker. The same is now true on turn around of paper. This is where mobile capture comes into play.
By using a Mobile Capture approach, it empowers your customers to speed up the capture process. By using a device such as a smart phone the user can capture paper on the edge at the point of completion thus rapidly expediting the start of process. Data is captured at the point of origin and instantly begins to process in your organizations systems, removing the time delays and risks described above.
The rapid expansion and use of Smart Phones helps in delivering this. Not every home has access to a desktop scanner, but a large percentage of the population have access to a Smart Phone.
The use case we describe in this book applys to a customer who has purchased a product from a company. The company has a mobile app for browsing their products, and the user wishes to make a complaint/return a faulty purchase.
