Reporting on approval status and approved data

You can use the approval status of account records and the percent approved of monthly data in downstream reporting for analysis and decision making. Some limitations apply to accruals and meter data.

Record level approval status

The approval status of individual account records is shown on all records grids. In addition, the following extract reports show the approval status and lock status for each record:
  • Records & Cost Audit
  • Account Style Data Extract
  • Account Items Audit
  • Records Extract by Tag

Monthly data extract reports

The percent approved of monthly data is shown on an account’s monthly data grid. Also, the following reports show the approved percent for each row of monthly data:
  • Monthly Data Summary
  • Monthly Data Summary – All Measures
  • Monthly Data Summary – Social Metrics

PowerReports

You can differentiate between approved and unapproved data in all PowerReports that are based on the monthly dataset.

You can view the approved value, unapproved value, and approved % under the Breakdown folder for each of the following metrics:
  • Emissions
  • Energy
  • Cost
  • Native units
  • Other metrics, including area, volume, mass, and distance
You can use the metrics to build custom visuals in PowerReports that clearly highlight the approval status of data that is used in analysis and reporting.

Accruals and meter data limitations

Account data approvals are currently based on the approval status that is set on account records. If your organization uses accruals or meter data for reporting, the data is not currently considered when the approved percent of monthly data is calculated.
