Customizing account approvals status values

You can customize certain elements of the account data approvals workflow, including the status values.

About this task

After records enter any approval status except Created or Rejected, the records are locked. By default, Data Reviewers and Data Approvers are given lock override permissions to edit locked records that are in either Pending Review, Reviewed, or Pending Approval status.

You can customize certain elements of the account data approvals workflow steps from the Custom Approval Statuses grid. The following table shows the default account data approval workflow statuses, and indicates the work roles that can override and edit locked records.

Procedure

Customize the settings for any status:

  1. To display the Custom Approval Statuses grid, click Admin > Custom Approval Statuses.
  2. Select the status that you want to customize and use the Actions menu to create a copy of the default approval status.
  3. Edit the copied status to change the settings.
    Include the status label, whether records are considered locked for that status, and which work roles can override the lock.
    The custom approval status settings are used instead of the default approval status settings.
  4. To revert to the default settings, delete the custom status.

Example

For example, the following table shows the use of a custom Awaiting Review status instead of the default Pending Review status, with a different lock category. The Parent Approval Status column indicates that the Awaiting Review status was created by copying and editing the Pending Review status.
