- Created, Pending Review, or Rejected to Pending Approval or Approved. This transition applies only to the 1-step approval workflow or the 2-step review and approval workflow with the review process bypass enabled. For more information, see Enabling and configuring account data approvals.
For simple approval workflows, you can assign both the Data Reviewer and Data Approver work role to a user with organization level access so that the user can review and approve all account records across the organization.
For more complex approval workflows, you can assign the Data Reviewer and Data Approver work roles to multiples users across the organization. For users with group or location level access, the account records that they can review or approve are naturally restricted to records within the groups or location that they can access. For more granular control, you can specify data type and organizational hierarchy restrictions as part of the work role setup, to further restrict the scope of account records that users can review or approve.
Procedure
- To restrict the data types that a user can review or approve, when you create a work role, select the data type from the Restrict to Data Type menu.
- To restrict the groups and locations for which a user can review and approve data beyond their normal access permissions, use the Organization Scope Restrictions menu.
- To enable a user to review or approve multiple selected data types, groups, and locations, create a separate work role for each data type. If you need assistance with setting up work role restrictions in bulk, contact IBM support or an IBM partner.
