Governance approval workflow setup

Before publishing your process blueprints in IBM Blueworks Live, administrators must configure the settings in the Admin page to control how governance workflows are applied across the Blueworks Live account. You can set account-level defaults and allow space-level overrides to meet your organization's specific needs.

About governance settings

Governance settings determine which governance process apps are applied to spaces in your account. By default, governance is not automatically enabled for all spaces. You can allow space managers to choose whether to enable governance for their own space, based on your organization's requirements.

You can configure governance at two levels:
Account level
Set a default governance process app that applies to all spaces in your account, or set the default to NONE to be able to select governance process apps at the space level.
Space level
Override the account-level setting for individual spaces by selecting a different governance process app or disabling governance for that space.

Account-level settings

The account-level governance settings determine the default governance behavior for all spaces in your account.

To configure these settings:
  1. Open the Admin page and go to the Settings > Governance tab.
  2. Enable the Require approval to publish a process option.
  3. From Select the account-level governance process app, select the workflow app to be triggered for publishing. If you do not want to select an account-level governance process app, select NONE.

    The default setting is NONE.

  4. Optional: select the option Reapproval after (days) to require periodic reapproval after a certain number of days.

Note: When you set the account-level governance to NONE, governance approval workflow is enabled for your account, but no specific process app is automatically applied to any of the spaces. To apply governance at a more granular level throughout your account, you can allow space managers to select their own governance preferences. See the following section for details.

Space-level settings

If the admin enables this option in the Admin page, space managers can override the account-level governance settings for a space and specify another process app or bypass governance altogether.

As an admin, follow these steps to enable space-level governance overrides:
  1. In the Admin page, go to the Settings > Governance tab.
  2. Select the option Allow space managers to manage approvals within their space. When this option is enabled, space managers can see a Governance tab in their space.
As a space manager, follow these steps to configure a specific governance workflow for your space:
  1. Open the space for which you want to configure governance and go to the Governance tab.
  2. To apply a specific process app for this space's governance workflow, select the process app from the list.
  3. To disable the governance workflow for the space, select NONE from the list. In this case, the process gets published directly without approvals.
Note: When the account-level governance setting is NONE, you can still enable governance for individual spaces by selecting a specific governance process app at the space level.
