Creating a governance workflow app

You can simplify your governance processes by creating a tailored workflow app. If you do not already have a ready-to-use governance workflow app for reviews and approvals, you need to create one using the workflow process app functionality.

Before you begin

You must have Automate Processes permission within your designated space to create Governance apps.

Procedure

Create a governance workflow app by using the workflow process app function

  1. Go to the space and select Create New > Process App.
    For more information, see Creating process apps.
  2. Give your app a name that clearly reflects the type of governance handled.
    For example, if your organization is involved in documenting processes that are related to Health and Safety, you might call your process app Health and Safety Process Approval.
  3. Select Workflow as the type of process app to create.
  4. Include any static information that remains the same across reviews.
    For example, if the Health and Safety Process guidelines are to be referenced during every review, you can attach the document to help ensure that every reviewer has access to it for any review.
  5. Check the Use this app for process governance checkbox to use the process app for governance.
  6. Create a workflow task to assign to the reviewer or approver.
    If approval is required, select Approval Step for that task. The reviewer or approver of the workflow task can be a user or a user group.
  7. After you configure it, publish the app to make it available for governance.
    Important:
    • Ensure that the governance process app includes at least one approval step.
    • All workflow tasks must have a description and an assignee. The assignee can either be a user or a user group.
    • To assign a task to a user group, the group must include at least one Editor or Contributor who is directly added to the group.
    • To make any changes, the app must be unpublished.

What to do next

Workflow task reassignment

In all work instances in the account, if the user or user group that is assigned to a task is archived or offboarded, the system automatically reassigns the task and sends an email notification to the new assignee.

The reassignment is done according to the following order:
  1. The task is assigned to the person who created the process app.
  2. If the creator is not a valid user, the task is assigned to the account administrator.
  3. If the account administrator is also not a valid user, the task is assigned to the first valid admin user in alphabetical order.
