Authorizing sites for software contracts

You can authorize one or more sites on a contract so that the contracts are available for use in the authorized sites. You can add sites from other organizations to the contract only when the applicable sites use the same company and item sets. You can also change vendor data when you add sites to a contract. For example, you can authorize a local vendor branch for each site.

Before you begin

You must choose a vendor for the contract before you can authorize a site.

About this task

You can authorize sites for contracts that have a status value of waiting for approval (WAPPR) or draft (DRAFT). You must assign one default vendor for each site.

If you change the value in the Vendor field after you authorize a site, the application copies the new vendor information to the rows that have a default vendor value. The application also deletes the rows that have no default vendor value.

The following steps explain how to authorize one or more sites on a software contract.

Procedure

  1. In the Software Contracts application, display the contract record that you want to update.
  2. Select the Authorize Sites action.
  3. Perform one of the following actions:
    Option Description
    Authorize an individual site
    1. Click New Row.
    2. In the Vendor field, enter a value.
    3. In the Site field, enter a value.
    4. Select the Default check box to specify whether you want the vendor to be the default vendor.
    5. Enter values in the Bill To and Attention fields.
    6. Click OK to authorize the site.
    Authorize multiple sites
    1. Click Select Sites.
    2. Select the appropriate sites.
    3. Click OK.
    4. Enter values in the Bill To and Attention fields.
    5. Click OK to authorize the sites.
