Define Quote Note Types and Configure Automatic Note Logging

This configuration allows you to define the note types that can be logged against a quote. Also, you can define which events will automatically log a note against an quote, and the service to be used for logging notes.

To define quote note types and configure automatic note logging:

Procedure

  1. In the Channel Applications Manager, click the Expand icon adjacent to Configure Quote Administration to expand the branch.
  2. Click the Advanced Configurations link.
  3. Select Define Quote Note Types and Configure Automatic Note Logging.

    The Quote Audit Notes screen containing the current configuration choices for the quote notes is displayed.

  4. To change the current or default quote entry configuration, click Change Configuration.

    The Quote Audit Note Wizard is displayed. The wizard displays information in two panels: the left panel displays the existing note reasons, and the right panel displays a summary of all of the note reasons you have configured.

  5. To add a note reason type:
    1. Click the Create New icon.
    2. Enter information in the applicable fields. The following table describes the fields in the Note Reason Details dialog box.

      Field Description
      Note Reason Enter a name for the note reason.
      Short Description Enter a short description for the note reason.
      Long Description Enter a more detailed description for the note reason.
    3. Click the Save icon to save your changes.

      After configuring the note reason type, you can choose when you want the notes to be automatically logged.

  6. Click Next.
  7. In the Create Quote panel, perform the following steps:
    1. Select A quote is created check box for a note to be automatically logged when a quote is created.
    2. Select the Note Type from the drop-down list.
    3. Enter the XSL Translation File to be used.
  8. In the Convert Quote To Order panel, perform the following steps:
    1. Select A quote is converted to order check box for a note to be automatically logged when a quote is converted to an order.
    2. Select the Note Type from the drop-down list.
    3. Enter the XSL Translation File to be used.
  9. Click Next.
  10. In the Quote Presented To Customer panel, perform the following steps:
    1. Select A quote is presented to customer check box for a note to be automatically logged when the related quote is presented to a customer.
    2. Select the Note Type from the drop-down list.
    3. Enter the XSL Translation File to be used.
  11. In the Quote Sent For Approval panel, perform the following steps:
    1. Select A quote is sent for approval check box for a note to be automatically logged when the related quote is sent to the customer for approval.
    2. Select the Note Type from the drop-down list.
    3. Enter the XSL Translation File to be used.
  12. Click Next.
  13. From the Service to Execute drop-down list, select a service that will be executed when a note is logged against a quote.
  14. Click Finish to close the Quote Audit Notes Wizard and save your settings.
    Note: After you select a note type from the Note Type drop-down list for an event and save the configuration, the note type is still displayed in the Note Type drop-down list even after you delete the note type. In such a scenario, you must manually change the configuration and ensure that the deleted note type is not selected for the event. For example, let us suppose that you select the SentToCustomer note type to be used to log notes on a quote when the quote is presented to a customer, and save the configuration. In this example, if you delete the SentToCustomer note type in the Quote Audit Note Wizard, this note type is still displayed in the Note Type drop-down list in the Quote Presented To Customer panel.
