Viewing Details of a Chargeback

About this task

Sterling Supply Chain Visibility enablesyou to view the details of a chargeback. To view the details of aparticular chargeback follow these steps.

Procedure

  1. Log in to Sterling Supply Chain Visibility asa user an administrator with a buyer role or as an SRO.
  2. From the menu bar navigate to Inbound > FindChargeback. The Search Criteria is displayed in the FindChargeback screen.
  3. Enter the search criteria and click Search.The results of the search are displayed in the Listing panel.
  4. From the list of event names displayed in the Listing panelcheck the box preceding the event name for which you want to see thedetails and click View Details. TheChargeback Detail screen is displayed. The figure below illustratesthe layout of the Chargeback Detail screen.

    The actions and thefields in the Chargeback Detail screen are described in the tablesbelow:

    Click this to perform additional tasks relatedto the chargeback. You can perform the following task:

    ViewNon-Compliance Summary - Click this hyperlink to viewthe non-compliance summary report for the supplier associated withthis chargeback.

    Chargeback Amount

    Indicates the value of the chargeback amountwith the currency corresponding to the locale of the enterprise.

    Thispanel also displays the associated event the status of the chargebackand the charged date.

    Modify

    Click this option to modify the value ofthe chargeback amount. The Modify Chargeback Amount dialog windowis displayed that contains the fields listed below.

    • Amount?Enter the new value of the chargeback amount.
    • Reason Code?From the drop-down list select a reason codefor modifying the chargeback amount.
    • Reason Text?Enter a descriptive reason for the changein the value of the chargeback amount.
      Note: Up to 100 characters can be used in this text box.

    Click Save to retain the changes andclose the Modify Chargeback Amount dialog window.

    Note: The Modifyaction will be available only if the chargeback is in Created status.
    Cancel

    Click this option to cancel the chargeback.The Cancel Chargeback dialog window is displayed that contains thefollowing fields:

    • Reason Code?From the drop-down list select a reason codefor canceling the chargeback.
    • Reason Text?Enter a descriptive reason for the cancelationof the chargeback.
      Note: Up to 100 characters can be used in thistext box.

    Click Save to retain the changes andclose the Cancel Chargeback Amount dialog window.

    Note:
    • The Cancel action will be available only if the chargeback isin Created status.
    • For a canceled chargeback the latest value of the NewAmount field in the Audits panelwill not change to zero. Only the status of the chargeback will changeto canceled.

      However the supplier will not be charged for the non-complianceevent.

    Additional Reference(s)

    Indicates the additional references thatare associated with this chargeback. Click this action to displaythe Additional Reference(s) window that contains the following:

    • Reference Name: Indicates the name of thereference associated with this chargeback.
    • Reference Value: Indicates the value correspondingto the reference associated with this chargeback.
    FieldDescription
    Transaction Id

    Indicates the transaction ID of the chargeback.The transaction ID is a unique alphanumeric code that is generatedfor each chargeback.

    Event Date

    Indicates the date on which the chargebackwas created.

    Order #

    Indicates the order number associated withthis chargeback.

    Click the order number hyperlink to view thePurchase Order Detail screen. The order number hyperlink is displayedonly if it exists in the system.

    Supplier

    Indicates the name of the supplier againstwhom the chargeback is raised.

    Click the supplier hyperlinkto view the contact details of the supplier such as address and contactnumber.

    Shipment #

    Indicates the shipment number against whichthe chargeback is applied.

    Click the shipment number hyperlinkto view the Shipment Detail screen. The shipment number hyperlinkis displayed only if it exists in the system.

    Invoice #

    Indicates the invoice number of the orderagainst which the chargeback is applied.

    Click the invoice numberhyperlink to view the Invoice Detail screen. The invoice number hyperlinkis displayed only if it exists in the system.

    Receiving Locn

    Indicates the receiving location of the shipmentassociated with this chargeback.

    Detail

    Indicates the reason for generation of thischargeback with details of the associated purchase order or shipment.

    This panel displays the suppliergroup or supplier groups to which the supplier belongs.

    Add Private Note

    Click this action to enter additional informationabout the chargeback. For example you can enter a detailed descriptionfor the chargeback amount modification.

    Enter your note in theAdd Private Note dialog window and click Save tosave the contents of the note you entered.

    Note:
    • Private notes are not included when the associated chargebackis published to the external applications.
    • You cannot delete a private note after you have saved it.
    • Up to 250 characters can be used in this text box.
    The Private Notes paneldisplays notes added for the chargeback by various users. This panelalso displays the user name date and the time when the note wasadded.

    Indicates the date and time when the chargeback was modified.

    Old Amount

    Indicates the chargeback amount before themodification.

    New Amount

    Indicates the modified chargeback amount.

    Reason Code

    Indicates the reason code for modifying thechargeback amount or canceling the chargeback.

    Reason Text

    Indicates the description for the changein the value of the chargeback amount or cancelation of the chargeback.

    Modified By

    Indicates the name of the user who modifiedor canceled the chargeback.

    Note:
    • For a canceled chargeback CANCELED is displayedin the Primary Information panel and the background color of thePrimary Information panel and the Chargeback Amount panel is gray.
    • For a canceled chargeback the latest value of the NewAmount field in the Audits panel will not change to zero.Only the status of the chargeback will change to canceled.

      Howeverthe supplier will not be charged for the non-compliance event.
