Notes Tab on the Alerts/History Page

Use the Notes tab on the Notes/Historypage to view or add notes for shipments orders contracts or invoices.

The Notes tabdisplays the following information:

  • The reported time which shows when the note was created in SterlingTMS
  • The subject and details of the note
  • The author and the organization that created the note. If thenote was submitted by way of data exchange the author is listed asEDI.organization-name.

Both shippers and carriers can view these notes if they haveaccess to the shipment contract or invoice. If a shipper user wantsto add a note that only the shipper organization can view open the Private tabon the Notes/History page.

Buttons on the Notes Tab

Use the followingbuttons to create or delete a note:

Add Note

Opens the Add Note page where you can define a note.

Edit

Opens the Edit Note page where you can update a note.

Remove

Shippers can delete a note in Execution. Select the note andclick Remove.

For example:

  1. The shipper manager writes a note to Carrier A for a shipmentand then tenders it.
  2. Carrier A declines the tender.
  3. The shipper manager wants to remove the note before tenderingthe shipment to Carrier B.

When a shipper removes a note it is also deleted from the History tab.

Carrierscannot remove notes in Execution.

When you are finished making changes select anothertab on the Notes/History page or click Done.

Order Notes in a Shipment

A shipment caninclude multiple orders. You can assign notes to both a shipment andits orders:

Shipments

Double-click the Note icon for the shipment which appears in theNotes column of the Shipments tab. The Notes/Historypage opens.

You can also select the shipment and click the Notes/History buttonon the Shipments tab.

Orders

Double-click the check mark icon for the shipment which appearsin the Notes column of the Shipments tab. TheNotes/History page opens.

The Ordershaving notes field at the top of the Notes tablists the orders that contain notes. Click an order number link toopen a second version of the Notes/History page which displays thenote for the order.

Origins and Destinations in Order Notes

Whenyou add a note for an order you can select one of the following settings:

Origin

The note only applies to the origin of the order. SterlingTMS also sends the note to the carrier in an EDI 204 transaction.

Forexample a shipper could add a note that shows the phone number tocall for a pickup appointment.

Destination

The note only applies to the destination of the order. SterlingTMS also sends the note to the carrier in an EDI 204 transaction.

Forexample a shipper could add a note about a construction detour nearthe destination.

Neither

Select Neither if you want to add ageneral note that does not apply to the origin or destination.

Forexample a shipper could add a note to explain that the shipment requiresspecial handling.

When you select Neither Sterling TMS does not sendthe note to the carrier in an EDI 204 transaction. If the shipperwants the carrier to receive the note in EDI format select Origin or Destination.
