About Archiving Documents

If there are many documents in the Inbox Outboxor Drafts you may want to reorganize some documentsin order to work efficiently. You can preserve documents on the siteby saving them to Archive.

Archiving allows you to maintain your documents online and manageyour long-term file storage needs. The Archive folderdisplays all of the documents that you have saved from your Inbox Outboxor Draftsfolders. Your documents are organizedon virtual pages with each page displaying a predetermined numberof documents. The total number of pages in your Archive folderdepends on the number of documents you have saved.

The most recent documents are displayed first. To navigate throughall of your documents click the numbered page links at the bottomof your Archive folder.

You can archive as many documents as necessary as it is a goodalternative to deleting and downloading documents. There are no limitsto the size of your archive folder; however you should delete thedocuments that are not needed to keep the folder manageable.

Note: By default Sterling Web Forms performsa weekly automatic clean-up of Sterling Web Forms folders permanentlydeleting documents that have a date/time stamp older than 13 months.The default data retention period can be modified by a Sterling representativebased on the contract set up between the community sponsor and IBM?. The Drafts folderis not affected by the Document Retention Policy.

Sorting the Archive Display

Youcan organize your archived documents by Form Name Company Form TypeDate or Status. The following table defines these options.

Form Name

Alphanumeric code that identifies a document.

Company

Business partner associated with the document.

Form Type

Type of document.

Date

Date and time the document was placed in your Archive.

Status

Status of the document in its original location (Inbox Outboxor Draft).
