Fields on the Schedule Appointment Page
Use the fields on the Schedule Appointment page to completean appointment. For example you can enter or view the following information:
- The location for the pickup or delivery appointment
- Shipping data such as the quantity weight package type andequipment
- Appointment date time and duration
- The reason code for an appointment change
The fields that are available depend on whether you are makingan appointment for a new order existing order or existing shipment:
- If you are making an appointment for a new order all the fieldsare available and can be changed. If you entered any order data whenyou set up the new appointment Sterling TMS displays thatinformation. You can modify this data as needed.
- If you are working with an existing order or shipment Sterling TMS displays thedata that was provided in the original order. You can view this databut cannot change it. For example you cannot change the quantityweight or volume for an existing order or shipment.
You can define or view the following settings on the ScheduleAppointment page:
- Location
Select the location for the pickup or delivery appointment.
Youcan only make an appointment at a location if the shipper administratordefined docks for that facility. Sterling TMS returns anerror message if you try to select a location that does not have docks.
Youhave the following options to select a location:
- Click Select
and choose a location.
- Enter a complete location name or location code.
- Enter the beginning of a name and then press Enter. Sterling TMS returns alllocations that start with those letters. If Sterling TMS returns multiplelocations the list box displays a red border. You can then selecta location.
If you are making an appointment for a new order and alreadyselected a location on the New Appointments page you can view thelocation. You can also select a different location.
If you aremaking an appointment for an existing order or shipment you cannotchange the location.
- Click Select
- Shipper
Select the shipper that created this load:
- When a shipper makes appointments the Shipper listcontains all the organizations you do business with in Sterling TMS. This listincludes your organization so you can make appointments for yourown pickups and deliveries.
- When a carrier makes appointments the Shipper listcontains all the shippers and customers that have selected this carrieras a partner.
The shipper is considered to be the organization that createdthe order. Consider this example:
- Retailer ABC creates the order in Sterling TMS.
- Supplier XYZ which is delivering the load to Retailer ABC makesthe dock appointment.
- On the New Appointments page the user selects Retailer ABC asthe shipper even though Supplier XYZ is shipping the load to thecustomer.
- Carrier
A shipper can select the name of the carrier that will takethe load. Carrier users cannot select the carrier name.
Note: Youcannot change the carrier for a tendered or covered shipment.- SCAC
The shipper or carrier can select the SCAC of the carrier thatwill take the load.
The SCAC can be the legal SCAC or it canbe a non-standard SCAC for a carrier fleet.
- Package Type
Enterthe package type of the load.
For example:
- Pallets
- Skids
- Cases
- Cartons
- Pieces
- Units
The default package type is Pallet.
Note: The packagetype is different from the load scheme which shows whetherthe freight is a palletized slipsheet or floor shipment.- SID Number
If you are making an appointment for a new order you can enterthe SID number for an existing shipment. Sterling TMS applies theappointment to orders in this shipment that share the same originor destination as the shipment.
The SID Number fieldis only displayed if you are making an appointment for a new order.For example:
- The shipment has been submitted to Sterling TMS but the orderhas not been submitted yet.
- You enter the SID number for the existing shipment and the ordernumber for the new order.
- Sterling TMS makesthe appointment for the new order and links the order to the shipment.
The SID Number field is not displayedif you are making an appointment for an existing order or shipment.
- Order Number
Enter the order number if you are making an appointment fora new order.
If you are making an appointment for an existingorder you can view the order number but cannot change it.
Ifyou are making an appointment for a shipment you can view the ordernumber that is assigned to the shipment. If the shipment containsmore than one order Multiple is displayed.
- PO Number
If you are making an appointment for a new order you can enterthe purchase order number.
For example you might want to searchon the Docks tab and find the orders that areassigned to the same purchase order number.
If you are makingan appointment for an existing order or shipment you can view thepurchase order number but cannot change it.
Note: You cannot enterthe purchase order number and leave the SID number or order numberblank. Sterling TMS willreturn an Unknown SID error message when you try to save theappointment. If you know the purchase order number but not the SIDnumber or order number click Find next tothe SID Number field to search for the load.- Qty
If you are making an appointment for a new order enter thetotal quantity of items.
If you are making an appointment foran existing order or shipment you can view the quantity but cannotchange it.
When Sterling TMS calculatesthe appointment duration it uses the quantity package type andload/unload profile for the pickup or delivery location.
- Weight
If you are making an appointment for a new order enter thetotal weight. Then select a unit of measurement such as Pounds orKilograms.
If you are making an appointment for an existingorder or shipment you can view the weight but cannot change it.
- Volume
If you are making an appointment for a new order enter thetotal volume. Then select a unit of measurement such as Cubic Feet.
Ifyou are making an appointment for an existing order or shipment youcan view the volume but cannot change it.
- Equipment
If you are making an appointment for a new order enter theequipment type required for the load. You have the following options:
- Dry
- Refrigerated
- Frozen
- Any
Sterling TMS usesthe equipment to match the appointment to a load/unload profile forthe location. For example the shipper administrator might have definedthe following profiles for the location:
- Dry deliveries can be unloaded at a rate of 22 pallets per hour.
- Refrigerated deliveries can be unloaded at a rate of 16 palletsper hour.
If you are making an appointment for an existing order orshipment you can view the equipment but cannot change it.
- Override Duration
Select whether you want to override the default appointmentduration for this location. The shipper administrator defined thedefault duration in the load/unload profile for the location.
Youhave the following options:- Yes
- You will specify the duration for this appointment. The page refreshesand you can edit the Duration field.
- No
- You will use the default duration for the location.
The default value is No.
- Duration
If you set Override Duration to Noyou can view the default appointment duration that the shipper administratordefined for the location.
If you set Override Duration to Yesyou can specify the duration of this appointment. Specify the durationand select Minutes or Hours.
Forexample:- Your Sterling TMS shipperadministrator defined the default appointment duration as 60 minutes.
- You are making a delivery appointment for fragile electronic gear.You want to allow more time for the appointment.
- You set Override Duration to Yes.
- You set the Duration to 90 minutes.
- You select a dock time slot that begins at 10:00 a.m.
- When you save the appointment Sterling TMS reserves thedock from 10:00 a.m. to 11:30 a.m. for the delivery.
If you have not selected a location Sterling TMS displays 150minutes as the default duration. After you select a location click CheckDocks to refresh the page with the default duration forthat facility.
- Load Scheme
If you are making an appointment for a new order you can selectwhether the load uses pallets slipsheets or is a floor shipment.
Sterling TMS uses the loadscheme to match the appointment to a load/unload profile for thislocation. For example the shipper administrator might have definedthe following profiles for the location:
- Pallets can be unloaded at a rate of 20 pallets per hour.
- Floor shipments such as cases or cartons can be unloaded ata rate of 60 items per hour.
You can enter both a Package Type and LoadScheme for an appointment. For example:
- Select Pallets as the PackageType and Palletized as the LoadScheme.
- Select Cartons as the PackageType and Floor as the LoadScheme.
Note: Sterling TMS doesnot validate that the Package Type and LoadScheme entries match.If you are making an appointmentfor an existing order or shipment you can view the load scheme butcannot change it.
- Type
Shows whether this is a pickup or delivery stop. You can viewthe stop type but cannot change it.
If you are making an appointmentfor a new order Sterling TMS selectsthe stop type based on whether you used the Pickup Appointments tabor Delivery Appointments tab on the New Appointmentspage.
If you are making an appointment for an existing orderor shipment Sterling TMS usesthe shipment itinerary to determine whether the location is a pickupor delivery stop.
- Reason Code
- Select a Reason Code to describe theappointment.
- Select the Reason Code Group such as Shipper Carrieror Weather.
- Select the Reason Code. Sterling TMS filters thelist of codes based on the group you selected.
The default reason code is Normal Appointment.
Tip: As a best practice you should update the reason code anytime you reschedule an appointment. For example you might select WaitingInspection or Customer Wanted Earlier Delivery. - Confirmation Number
Enter a confirmation number if you want to store this numberfor your records.
If you do not enter a confirmation number Sterling TMS generatesa confirmation number for each appointment. The confirmation numberis displayed on the Docks tab - Detail View.
- Cancel Appointment
Select the Cancel Appointment checkbox and click Save to remove an existing appointment.
The CancelAppointment check box is only displayed on the Edit Appointmentpage. The check box is not displayed on the Schedule Appointment page.
- Notes
Enter an optional note that describes this appointment. Forexample you might specify that the load requires special handling.
