Add Carbon Copy Rule Page

Use the Add or Edit Carbon Copy Rule page to set up arule for the carbon copy transactions that Sterling TMS sends to anotherorganization.

Selecting Carbon Copy Transactions

Selectthe data exchange transactions that Sterling TMS sends to thereceiving organization. You can select one or more entries:

Shipment

Sterling TMS sendsa copy of outbound EDI 204 transactions which are sent to your organizationfor new or updated shipments.

Shipment Status

Sterling TMS sendsa copy of outbound EDI 214 transactions which are sent to your organizationfor shipment status updates.

Tender Response

Sterling TMS sendsa copy of outbound EDI 990 tender response transactions which aresent to your organization when a carrier accepts or declines a tender.

Voucher

Sterling TMS sendsa copy of outbound EDI 210 freight payment vouchers which are sentto your organization. These transactions include the original voucheramendments and rebill vouchers.

Sterling TMS can only sendcopies of freight payment vouchers. Sterling TMS does not sendcopies of EDI 210 invoices that are submitted by a carrier.

Accrual

Sterling TMS sendsa copy of the EDI 210 accrual invoices that are sent to your organization.These transactions include the original voucher amendments and rebillvouchers.

Defining the Receiver ID for a Carbon Copy Rule

Enterthe Receiver ID for the organization that willreceive the carbon copy transactions. Sterling TMS includes thisidentifier in the <Receiver> tags in theoutbound XML file.

Each carbon copy rule applies to one receivingorganization. If you want Sterling TMS to send thesame transactions to more than one organization you can define aseparate carbon copy rule for each organization.

Replacing Original Transactions

You can specify whether your organizationreceives the original data exchange transaction when Sterling TMSsends the carbon copy.

Set the Replace Original fieldto one of the following options:

Yes
Sterling TMS onlysends the carbon copy transaction to the Receiver ID you specify.Your shipper organization does not receive the original transaction.
No
Sterling TMS sendsthe original transaction to your shipper organization and the carboncopy transaction to the Receiver ID you specify.

By default Replace Original isset to No.

Defining Filters for a Carbon Copy Rule

Youcan set up filters to restrict when Sterling TMS sends carboncopy transactions to the receiving organization. Sterling TMS only sendsa transaction for shipments that match all of the filtering criteria.

Youcan define the following filters:

Origin

You can restrict carbon copy transactions to shipments thatare picked up in one origin area.

You have the following options:

  • Enter a complete area or location name. Sterling TMS displays thatname on the right side of the page.
  • Enter the beginning of a name and then press Enter. Sterling TMS returns allareas or locations that start with those letters. If Sterling TMS returns multiplenames the origin list box displays a red border. You can then selectthe area or location that you want.
  • Click Select to choose an area.
  • Click Create to define an area.

After you make a selection click the Origin linkto view details about the location or area.

Destination

You can restrict carbon copy transactions to shipments thatare delivered to one destination area.

You have the followingoptions:

  • Enter a complete area or location name. Sterling TMS displays thatname on the right side of the page.
  • Enter the beginning of a name and then press Enter. Sterling TMS returns allareas or locations that start with those letters. If Sterling TMS returns multiplenames the destination list box displays a red border. You can thenselect the area or location that you want.
  • Click Select to choose an area.
  • Click Create to define an area.

After you make a selection click the Destination linkto view details about the location or area.

Carrier and SCAC

You can restrict carbon copy transactions to shipments thatare delivered by one carrier.

After you select a carrier youhave the option of selecting a single SCAC. For example you mightwant to send carbon copy transactions for shipments that use the carrier'spreferred fleet.

Notes:
  • After you make a selection click the Carrier linkto view details about that organization.
  • Select a carrier if you want to filter the transactions for shipmentsdelivered by one organization. To filter the transactions for shipmentsdelivered by multiple carriers select the carriers in the MemberList section of the page.
Mode

You can restrict carbon copy transactions to shipments thatare delivered using one transportation mode such as Truckload orLTL.

Description

You can restrict carbon copy transactions to shipments thatare carrying the same items based on the description.

Enterthe exact name of the item in the Description textbox.

Priority

You can restrict carbon copy transactions to shipments thathave the same shipment priority.

After you make a selectionclick the Priority link to view a descriptionof this priority.

Contract Attribute

You can restrict carbon copy transactions to shipments thatuse the same contract attribute.

For example:

  1. You set up a contract attribute for a business unit in your company.
  2. Your users assign this contract attribute to shipments being deliveredto that business unit.
  3. Sterling TMS onlysends a carbon copy transaction for shipments that are being deliveredto that business unit.
Movement Type

You can restrict carbon copy transactions to shipments thathave the same movement type such as Outbound or Interplant.

Equipment

You can restrict carbon copy transactions to shipments thatuse a certain equipment type. Select one of the following options:

Equipment List
Select an equipment list if you defined these equipment groupings.
Custom Equipment
Select an equipment type and size if you defined a custom listof equipment types for your organization.

If you select a custom type and size you can clickthe Custom Equipment link to view details aboutthat vehicle.

Note: If you edit an equipment list you must updateyour carbon copy filter and reassign the list to the filter. Sterling TMS does not automaticallyapply the changes from the equipment list to the carbon copy filter.
Member List

You can restrict carbon copy transactions to shipments thatare associated with certain organizations.

Reference Fields

You can restrict carbon copy transactions to shipments thatuse the same reference field value.

For example you only want Sterling TMS to send carboncopy transactions for shipments that use the same Accounting Codeor Export Reference Number.

To define a reference field filterfollow these steps:

  1. Click Add to add a blank row to the table.
  2. Select a reference field in the Label column.
  3. Enter the Value for the reference field.
Tip: You can also select a reference field in theLabel column and enter an asterisk (*) as a wild card in the Valuecolumn. Sterling TMS sendsthe carbon copy transaction for any shipment that uses this referencefield regardless of the value.

After you define filters you can edit a carboncopy rule and click Clear Filters to removeall the filters.

Filtering a Carbon Copy Rule Using a Member List

Youcan restrict carbon copy transactions to shipments that are associatedwith certain organizations. You can select one of the following memberlists:

Supplier

Sterling TMS onlysends transactions for shipments that are delivered from the vendorson this list.

Customer

Sterling TMS onlysends transactions for shipments that are delivered to customers onthis list.

Partner

Sterling TMS onlysends transactions for shipments that are delivered using these tradingpartners.

Carrier

Sterling TMS onlysends transactions for shipments that are delivered by the carrierson this list.

To define a member list filter follow these steps:

  1. Click Add to add a blank row to the table.
  2. Select the Role such as Customer or Supplier.
  3. Select a Member List.

For example one of your customers picks up shipments usingits private fleet:

  1. You set up a carbon copy rule to send freight payment vouchersto the customer.
  2. You assign a carrier member list which includes the carriersfrom the customer's private fleet.
  3. Sterling TMS sendsthe carbon copy of a voucher when one of these carriers delivers ashipment to the customer.
  4. The customer can see the freight allowance in the voucher whichyour organization granted because the customer picked up the shipmentwith its private fleet.
