MS Planner - Comments not loading, when it has reached 101 comments

How To

Summary

Users is experiencing an issue in Microsoft Planner.
When the number of comments on a task reaches 101, some of the comments are replaced with a "reload comments" message.
When the number of comments is below 100, all comments are visible without issue.
This behaviour is consistent across both the web version and Teams integration.

Objective

Answer the following questions:
1. Is there a limit to the number of comments that can be added to a task in Microsoft Planner? If so, what is the exact limit?
2. Is there an alternative method to view all comments, especially when the number exceeds 100?

Environment

Windows 11
Microsoft 365 : MS Planner

Steps

1. Is there a limit to the number of comments that can be added to a task in Microsoft Planner? If so, what is the exact limit?

No, there is no directly advertised limit. However, what happens is the following:

In Microsoft Planner, when a task receives more than 100 comments, the comment thread may "fork," causing older comments to become hidden or inaccessible in the Planner interface. This is a known behavior (not a Bug) due to backend threading limits.

Please check:

"If a thread gets forked, then not all comments will load. Forking can occur by a direct response to an e-mail in the group inbox rather than via comments in Planner tasks. Forking can also automatically occur when more than 100 comments are added to a task."

Comment on tasks in Microsoft Planner

Explanation:

1- Thread Forking:

- In Microsoft Planner, comments are stored as email threads in the associated Microsoft 365 Group mailbox.

- A thread is a continuous chain of replies to the same email subject.

- Forking happens when someone replies to a comment via email (e.g., from Outlook) instead of through the Planner interface. This creates a new thread, breaking the continuity.

2- Automatic Forking After 100 Comments:

- When a task accumulates more than 100 comments, Microsoft Planner automatically forks the thread to manage performance and email threading limits.

- This means the comments are split into multiple threads, and the Planner UI may only load the most recent thread, not the entire history.

3- Impact:

- As a result, older comments may not appear in the Planner interface.

- You might see a “reload comments” message or only partial comment history.

2. Is there an alternative method to view all comments, especially when the number exceeds 100?

Workaround:

Outlook Group Mailbox:

Comments for tasks within a plan are stored in the Exchange Online mailbox for the Microsoft 365 Group associated with the plan. When you post a comment on a task, an email notification is sent to the group inbox, and you will receive an email for each subsequent comment made on that task.

Each Planner task comment is sent as an email to the associated Microsoft 365 Group.

You can access the Group mailbox via Outlook (web or desktop) and view the full comment history there.

How Microsoft Planner Works

1- Find the corresponding Microsoft 365 Group for your Planner.

2- Open the Group mailbox in Outlook (web or desktop).

3- Locate the conversation/thread for the Planner task. All comments added to the Planner task are also recorded as replies in this Group conversation.

4- Here, no “100 comment visibility limit” is applied; you can scroll through and view the entire comment history.

Additional Information

 Recommendations:

- Avoid using Planner tasks as long-term threaded discussions.

- Archive or summarize older comments periodically to reduce clutter and improve performance.
