Copying retained content off Fixed Content Devices

Abstract

Content Platform Engine V5.2.1 introduces the Copy Retained Content option, and V5.5.9 introduces the Content Move Skip Delete option. These options allow content that is under retention on fixed content devices to be copied for the purpose of retiring that device.

Content

Purpose
Before the V5.2.1 release, Content Platform Engine did not allow content that is under fixed device retention to be moved to another storage area. The content could be moved only after the retention expired. By default, this is the expected behavior: content under retention cannot be changed under normal circumstances. However, you might want to retire a fixed content device, even if it has content that is still under retention.

The Copy Retained Content option allows content under retention to be moved from the fixed content device by using a bulk move content job. Do not use this option for anything but retiring fixed content devices.

Usage
The Copy Retained Content option is enabled by setting the CopyRetainedContent property to TRUE on a bulk move content job. Only users with the Modify Retention permission can set the property to TRUE.
V5.2.1: This property can be changed only by using the Content Engine API because the property is not visible in the Content Platform Engine administration console. You can either write a Java program to change this property value on the bulk move content sweep job, or use the Administration Console for Content Engine (ACCE) Batch operation with Java script to change the property value.

V5.5.8 or later: This move content sweep job property can be changed by using Administration Console for Content Engine (ACCE).

When this property is set to TRUE, the bulk move content job does not delete content that it moves from fixed content devices (and only fixed content devices). This is true of both content that is under retention and content that isn't under retention. Content retains its retention date.

Auditing
Content that is copied by using the Copy Retained Content option can be tracked with auditing. To do so, add an audit definition for the Move Content event. When content is moved by using the Copy Retained Content option, the Source Content Retained property is set to TRUE for the corresponding Move Content event.

Troubleshooting
The bulk move content job page displays a number of useful properties for troubleshooting:
• Start time – A timestamp that indicates when the currently running sweep started. The property remains set to a timestamp value even after the job has completed.
• End time – A timestamp that indicates when the sweep was completed. If the end time is NULL, the sweep has not completed yet.
• Objects examined – The number of objects that matched the sweep's filter.
• Objects processed – The number of objects that were processed without issue.
• Objects failed – The number of objects that failed when the sweep action was applied.
A list of the failed objects can be found on the Sweep Results tab along with the reason for failure.

You can run small batches to test whether copying is successful. After you run a small batch, check the troubleshooting properties to see if running a larger batch would be successful. Did it complete in a reasonable amount of time? Was the number of objects examined what you expected? If there were any failures, examine the Sweep Results tab to determine the cause. Lastly, examine the target storage area to ensure that the content was actually moved to the new location.

Content Platform Engine V5.5.9 introduces the Content Move Skip Delete JVM option.  Much like the Copy Retained Content option, this JVM argument allows you to copy content under retention, but is easier to implement, and applies to both sweep jobs and policy sweeps.
