Job Code Default Data (JCDD): Steps to Perform the Workbench Import (Tier 5 User Access)

Problem

Detailed instructions for Tier 5 Users to perform Job Code Default Data (JCDD) imports via Workbench.

Resolving The Problem

If you are a Workbench Tier 5 user and do not have access to import spreadsheets in Workbench, put a request in to your IBM representative to enable the below setting for your account and add some public profiles to allow you to import successfully.


1. Export the current Job Code Default Data (Tools > Forms > Reqs > Req Forms > Click to Administer the fields for the req form you’d like to pull the JCDD for > Click the “Export job code defaults to Excel” link > Access the Task Manager (Tools > Task Manager) to access your spreadsheet.)
2. Prepare your spreadsheet by adding/modifying the JCDD that you would like to import.
3. Go to Tools > Import > Profiles
4. With Tier 5 access, you do not have the ability to create Import Profiles, this must be completed by an IBM representative. If you do not see a Job Code Default Data Import Profile, please contact your IBM representative to have one added. If you do have one available, follow the next steps.
5. Select the existing profile and click Launch.

6. Selecting Launch will direct you the following screen.
(1) Because JCDD is per req form, select the Req Form you’d like to apply this JCDD to.
(2) Select your spreadsheet
(3) Click Launch

7. The system will process the spreadsheet and send you an email when the import is complete.
8. Navigate to the Task Manager to see the results of the import. (Tools > Task Manager)
9. On the Task Manager page, there is a Status column which will indicate the status of your import. There are 5 potential Statuses you may encounter:
O Pending = The import is waiting in line to be processed.
O Running = The import is currently being processed. You may use the “Refresh display” link to watch the progress. (Number of rows will increase as the file is processed.)
O Completed = The import has completed without errors. It is important however, to open the file (via the binoculars icon ) to review the results.
O Completed with Errors = The import has completed and has errors that will need to be resolved. Open the results file via the binoculars icon , review the errors, correct them in the original file and reload the file. (You may reload the entire original file, with the corrections, or just the JCDD that had to be corrected.)
O Failed = The import failed completely. This may be an issue with the extension of the excel file you attempted to import, an overall system error/issue, or that the file was too large and timed out.
