Search 360 will automatically index all documents with the suffix RTF, ANB, LNB, TCV, XML, CSV and TXT. All other document types will require that an appropriate iFilter is installed on the machine on which indexing is performed. iFilters are third-party plugins that enable index services, such as the Search 360 Index Service, to scan the different document types that may be embedded in entity and link records and extract index terms. Suitable iFilters may already be installed depending on the version of the applications you are using. The easiest way to determine whether the correct iFilter is installed is to import a document of the required type, update the index and then search for a term that you know is in the document. Warning Documents larger than 100Mb may not be included in the index.
Answer
Installing iFilters:
If you are a Microsoft SQL Server administrator you can install iFilters that will allow documents of a set type to be searched using Search 360 and Full-Text search:
- Remove the document type fields from the index.
- Install the correct 32-bit or 64-bit iFilter on the correct machine.
For Search 360, this should be the Search Indexer machine.
For Full Text Search, this should be the SQL Server.
Guidelines are provided below for different document types.
For Microsoft Office documents:
- iFilters may already be installed for Microsoft Office 2003.
- To support Office 2007/10 documents you need to install and register Microsoft Filter Pack iFilters on the SQL Server machine.
For PDFs:
- Install Adobe Reader 9.4 for the 32-bit or 64-bit download in order to obtain the iFilter for PDFs. Please note that later releases of Adobe Reader are not compatible, even when they do appear as supported when running the SQL script listed below.
For HTM files:
- An iFilter for HTM files is likely to be installed already.
Notes
- The titles of HTML pages, and other metadata, will not be indexed.
- iFilters must be installed for each of the document types that are indexed. If an iFilter is not installed, documents of that type will not be included in the index.
- If an iFilter is installed after the index has been built, the index will need to be rebuilt for the document type fields before the document will be indexed correctly.
Once you have installed the correct iFilter, you must perform some additional steps for Search 360 and Full Text Search.
Search 360
For Search 360 you will need to ensure the Index Service includes any new document types:
- From the Tools > Search menu, select Search 360 Administration to display the Search 360 Administration dialog.
- In the Types area, for all fields of type document, turn off the check box to the left of the field.
- Click OK.
- Display the Search 360 Administration dialog again and for all the fields of type document, turn the check box back on.
- Click OK and exit iBase Designer.
- Run the Index Service to include the new document types in your Search 360 index. For more information about the Index Service, refer to Managing the Index Service in the iBase Administration Center.
Full-Text Search
For Full-Text Search you need to perform one or more additional steps depending on which iFilter you installed:
- If you have installed the 64-bit Adobe PDF iFilter download, set the PATH environment variable to the bin folder of the iFilter installation. For example, in the PATH variable, add the path C:\Program Files\Adobe\AdobePDF iFilter 9 64-bit\bin
- If you installed Adobe Reader 9.4, this will have been done for you.
- If you have installed any PDF iFilter (or other iFilter that does not have a signed binary) run the following command in SQL Server Management Studio for your instance:
exec sp_fulltext_service 'verify_signature', 0; - If you have installed any new iFilter, run the following command in SQL Server Management Studio for your instance:
exec sp_fulltext_service 'load_os_resources', 1; - On SQL Server 2005, stop and restart the SQL Server Full Text Search service (msftesql in MS link). This is included in the SQL Server service for SQL Server 2008.
- Stop and restart the SQL Server service. If you have only added the Office 2010 iFilter, this may not be needed.
- Rebuild the Full Text Search index in iBase Designer to include the documents.
Checking which iFilters are installed
To determine which file extensions the iBase database currently has iFilters for, you can run the following SQL Script:
select document_type, path from sys.fulltext_document_types;
