Location Notes

You can define pickup and delivery notesthat apply to all shipments departing from or arriving at each location.

Forexample you might add a note that explains how road constructionaffects access to this facility.

Adding Location Notes

When you define alocation you can enter separate pickup or delivery notes. Sterling TMS applies thesenotes to each order created by your organization:

  • The pickup note is attached to any order that departs from thislocation.
  • The delivery note is attached to any order that arrives at thislocation.

Editing Location Notes

You can edit a location-levelnote. Sterling TMS appliesthe updated note to orders created after that time. Sterling TMS does not changethe note for existing orders.

Viewing Location Notes

Shipper and carrierusers can view the note by selecting an order in Execution clicking Notes/Historyand opening the Notes tab:

  • The Subject is listed as LocationPickup Note or Location Delivery Note.
  • The Event Time shows the date and timethe order was created.
  • Your organization is listed as the author.

Example of Location Notes

The followingexample shows how a shipper and carrier use location notes:

  1. You define a location for your Chicago factory. Many shipmentsdepart from this facility. You create a pickup note that states:

    ContactJohn Smith at (773) 555-1234 if you have questions.

  2. You define a location for your Cleveland warehouse. You createa delivery note that states:

    Exit 6 of the Turnpike isclosed. Get off at Exit 5 and take U.S. 224 east.

  3. In Execution a user defines a single-stop shipment from yourChicago factory to the Cleveland warehouse.
  4. You tender the shipment to a carrier and it accepts the load.
  5. The carrier selects the shipment on the Active taband opens the Notes/History page.
  6. The Notes tab displays both notes:
    SubjectDescription
    Location Pickup NoteContact John Smith at (773) 555-1234 if youhave questions.
    Location Delivery NoteExit 6 of the Turnpike is closed. Get off atExit 5 and take U.S. 224 east.

Additional Rules for Location Notes

Keepin mind the following rules when using location notes:

  • Sterling TMS attachesthe note when the shipment or order is created.
  • Sterling TMS attachesthe notes to the shipment or order regardless of whether it was createdonline or submitted through Data Exchange.
  • You can add other notes on the Notes/History page or submit othernotes using Data Exchange. These notes do not replace the locationnotes.
  • If you change the origin or destination of a shipment Sterling TMS adds any locationnotes that are defined for the new origin or destination. However Sterling TMS does not removenotes that were defined for the original origin or destination.
