Data Exchange Setup Page
Use the Data Exchange Setup page to define which documentsyou are able to receive through data exchange and the format youwant to use.
On the Data Exchange Setup page you are defining thedefault data exchange settings for all your shippers. You can usethe Shipper Relationships step of Carrier Configuration to definedifferent data exchange options for each shipper.
In additionto defining these data exchange settings you have to contact your Sterling TMS carrier enrollmentspecialist to plan any changes to your EDI connectivity. The carrierenrollment specialist will work with you to ensure that Sterling TMS can processyour EDI transactions.
Fields on the Data Exchange Setup Page
Selectthe following EDI settings on the Data Exchange Setup page. Thesesettings apply to all the shippers you work with in Sterling TMS.
- Tender Notification
Specify whether to receive tenders from your shippers usingdata exchange.
- Yes
- You are able to receive tenders using EDI transactions.
- No
- You do not accept tenders through data exchange. Shippers mustsubmit tenders online using Sterling TMS.
The rest of the fields on the Data Exchange Setuppage are only available if you set Tender Notification to Yes.
- Truckload Shipment Tenders
Ifyou set Tender Notification to Yes Sterling TMS sends youEDI 204 transactions when your shippers tender a truckload shipment.
Theonly setting for Truckload Shipment Tenders is EDI204. You cannot change this setting.
- LTL Shipment Tenders
Ifyou set Tender Notification to Yesspecify how you want to receive tenders for LTL shipments:
- EDI 204
- Sterling TMS sendsLTL tenders using EDI 204 transactions.
- EDI 211
- Sterling TMS sendsLTL tenders using EDI 211 transactions.
- None
- Shippers must tender LTL shipments online using Sterling TMS.
- Cancel Option
Ifyou set Tender Notification to Yesspecify how you want to be notified when a shipper cancels a shipment:
- Full Cancel with Sub-shipments
- You will receive an EDI 204 Cancel notice for the shipment andeach order associated with that shipment.
- Short Cancel
- You will receive an EDI 204 Cancel notice for the shipment withoutany stop information.
- Include Estimated Route Distance
If you accept truckload or LTL tenders as EDI 204 transactionsyou can have Sterling TMS includethe estimated route distance in the EDI 204 shipment:
- Select the Include Estimated Route Distance checkbox.
- Select Miles or Kilometers.
Note: EDI 211 transactions for LTL shipment tenders do not includethe estimated route distance.- Tender Update Notification Valid
If you set Tender Notification to Yesdefine when you want to receive shipment update notifications. Selectone of the following options:
- Until Departed Origin
- Until Arrival at Destination
- Until Departed Destination
- Always (this is the default)
For example select Until Departed Destination ifyou do not want to receive EDI 204 updates from the shipper afterthe shipment delivery is complete.
- Receive Ready to Ship Updates
Carriers can specify whether they want to receive Ready toShip status updates in data exchange transactions. Select one of thefollowing options:
- Yes
When a shipper marks an order or shipment as Ready to Ship Sterling TMS automaticallysends your organization a data exchange transaction. This transactioncontains the Ready to Ship information including the date and timethe freight is ready to be picked up at the origin location.
When Sterling TMS sends othershipment status updates to your organization the data exchange transactionincludes the Ready To Ship element.
- No
Sterling TMS doesnot send Ready to Ship status updates to your organization. This isthe default setting.
Note: This feature is designed to support specificshipper and carrier workflows. Unless you are notified to enablethis setting you should leave Receive Ready to Ship Updates setto No.
When you are done click Save tosave your data exchange configuration.
Sending Files and Transactions to Sterling TMS
Thesettings on the Data Exchange Setup page cover the transactions anddocuments you want to receive using Sterling TMS. In additionyou can send the following EDI data to Sterling TMS:
- Accepting or declininga shipment tender using an EDI 990 transaction
- Shipment status usingan EDI 214 or EDI 315 transaction
- Freight invoices using anEDI 210 transaction

Including Distances in Shipment Transactions
Carrierscan specify that EDI 204 shipments include the total route distanceand the distance from the origin to each stop. To use this featureselect the Include Estimated Route Distance checkbox on the Data Exchange Setup page.
If you use this feature Sterling TMS includes thetotal distance (the full route distance) in the header level of theEDI 204 shipment. The shipment also includes the cumulative milesfrom the origin to each stop.
The following example shows how Sterling TMS calculatesthe distance.
The Estimated RouteDistance is cumulative for each stop:
- Stop 1 to Stop 2 is 100 miles.
- Stop 1 to Stop 3 is 150 miles.
- Stop 1 to Stop 4 is 200 miles.
- The total route distance is 200 miles.
If you receive LTL shipment tenders through data exchangeyou must use EDI 204 transactions if you want to receive the estimatedroute distance. EDI 211 transactions do not include the estimatedroute distance.
