Create a Change Request

About this task

A Change Request is a smaller unit of atask that makes up a Change Project and is needed to complete theChange Project task. A Change Project contains one or more changerequests. For example a Change Project called "Building Catalog"can contain a number of Change Requests such as "Create organization"Add users or "Add items". A Change Project must be created beforecreating Change Requests. Multiple users can be assigned to work ona Change Request simultaneously however a user can only work onone Change Request at a time.

Create Change Request Workflow

Fora selected Change Project create a Change Request with the basicinformation such as ID and description.

Assign contributors(users) who can work on the Change Requests.

Contributors workon the Change Requests and mark them as complete once done.

Each Change Requestcan be in one of the following statuses during its work cycle:

Draft
When a Change Request is created it is in the "Draft" statusby default. Users cannot work on the draft Change Requests.
Open
When a Change Project is activated the Change Request belongingto it becomes "Open". Users can work on the open Change Requests.A Change Request can be in "Open" status when the Change project itbelongs to is in the "Open" or "Work in Progress" status.
Work In Progress
When a user starts a Change Request to work on the Change Requestmoves to the "Work in Progress" status automatically.
Completed
When the Change Request is complete the user moves the ChangeRequest to "Completed" status. Once the Change Request is completeit cannot be modified.

To create a Change Request:

Procedure

  1. Log in to Sterling Business Center as anEnterprise Administrator or a user with Change Project permissions.
  2. The application home page is displayed. The My ChangeProjects dashlet displays all the Change Projects that you created.Each displayed Change Project name is a hyperlink.
  3. In the My Change Projects dashlet select the changeproject for which you want to add Change Requests. The ChangeProject Details screen is displayed.
  4. In the Change Requests panel click Add tocreate a Change Request for the selected Change Project.

    The Change Request Details screenis displayed. Fields marked with "*" are mandatory.

  5. Specify the following to create a Change Request.
    1. In the Change Request ID boxenter a unique identification for the Change Request. The name ofthe Change Project for which the Change Request is being created isalso displayed.
    2. In the Short Description boxenter a short description for the Change Request. For example "Creatingorganization".
    3. In the Long Description boxenter an explanation for the new Change Request task. You can addlocalized values for both the short and long descriptions by clickingthe Localize button adjacent to the boxes.
    4. You must assign contributors who can work on the ChangeRequest. See the section Assign Contributors to a Change Request fordetails on assigning contributors to the Change Request.
  6. After you enter the above information selectany of the following options:
  7. Click Save to save the new ChangeRequest.
  8. Click Save and New to save the ChangeRequest and create another Change Request for the selected ChangeProject.
  9. You must activate the Change Request so that it can beexecuted. To activate the Change Request click Open inthe Change Request Details screen.
    Note: You can activate the Change Request only after it is saved. The Open buttonis enabled only after you save the Change Request.

Results

The newly created Change Request is now in the "Open" statusand is available for the assigned contributors for further processing.

Assign Contributors to a Change Request

About this task

Contributorsare designated users who process the assigned Change Requests andtake it to completion. Once the contributors complete the Change Requeststhey move them to the "Completed" status. When all the Change Requestsof a Change Project are completed the change project can then beapproved and later published.

To assign contributors tothe Change Request:

Procedure

  1. Log in to Sterling Business Center as anEnterprise Administrator or a user with Change Project permissions.
  2. The application home page is displayed. The My ChangeRequests dashlet displays a list of the Change Requests thatare assigned to you along with their status.
  3. Each of the listed Change Request is a hyperlink. Selecta Change Request to view its details.
  4. The Change Request Details screenis displayed. In the Contributors panel click Add toassign contributors for working on the Change Request.
  5. The User search screen is displayed.Search for the required users by specifying the given search criteria.If you do not specify the criteria a list of all the available usersis displayed. For details on user search see the topic Searchfor a User.
  6. Select the users you want to assign to the Change Requestand click Select.
  7. The Contributors panel is now populated with theselected users who can work on the Change Request.
  8. Click Save to save the Change Request.

Results

The Change Request is now ready for further processingby the assigned contributors.

Remove Contributors from a Change Request

About this task

To remove contributors from a Change Request:

Procedure

  1. Log in to Sterling Business Center as anEnterprise Administrator or a user with Change Project permissions.
  2. The application home page is displayed. The My ChangeRequests dashlet displays a list of the Change Requests thatare assigned to you along with their status.
  3. Each of the listed Change Request is a hyperlink. Selecta Change Request to view its details.
  4. The Change Request Details screenis displayed. The Contributors panel in the ChangeRequest Details screen displays all the contributors assignedto a Change Request.
  5. Select the contributors you want to remove by marking thecheck box adjacent to the contributor names.
  6. Click Delete to remove selectedcontributors from the Change Request. The Delete buttonis enabled only when you select a contributor for deletion.
  7. The system prompts you for confirmation. Click Yes todelete the selected contributors from the list.
  8. Click Save to save the Change Request.
