Populating the databases

After you define the structure and create a Microsoft SQL Server or Oracle database, you populate the database with the data from the Taskmaster application databases by using the Taskmaster Database Copy Utility.

You can also use the Taskmaster Database Copy Utility to move your Taskmaster applications and their databases from their current environment into another environment when the needs of your company change. For example, business growth requires more capacity or you are relocating company assets.

In another scenario, you might want to create and test the Taskmaster application databases in a Test environment. After the databases are tested and ready, you use the Taskmaster Database Copy Utility to move these databases into a Production environment. The Test environment should mirror the Production environment to ensure the data between the Test and Production databases is synchronized.

With the Taskmaster Database Copy Utility, you can copy the following Taskmaster application databases to database structures in another environment:

To populate a database:

  1. Open Start > All Programs > Datacap > Administrator > Tools > Database Copy Utility.
  2. Select the type of the Taskmaster application database that you want to copy.
  3. For Admin databases only, select the data that you want to copy. You might have to update some of this information to the workflow tasks on the Destination database.
    Option Description
    Copy All Copy all of the tables in the Taskmaster application database.

    When you create a new application, select Copy All.

    When you copy a database to an existing target location, select Copy All if the source location contains all of the users, groups, etc. that are already setup in the target location.

    When you copy an application from one production database to a new database, select Copy All.

    Keep Actors Copy the workflows, jobs, tasks that are in the application database.

    Copy the user permissions in the application database if they are compatible on both systems

    Do not copy the users, groups, stations, and shortcuts

    Keep Actors and Roles Copy the workflows, jobs, tasks that are in the application database

    Do not copy the users, groups, stations, shortcuts, and user permissions

    When you copy a database to an existing target location, select Keep Actors and Roles if the source location does not contain the users, groups, etc. that are already setup in the target location.

    Attention: If you select the Keep Actors or Keep Actors and Roles option, review the results. This review ensures that the Admin database permissions for users, groups, and shortcuts are compatible on both systems.
  4. Repeat these steps for the Fingerprint database if one is used. The Fingerprint database must be populated for new applications, updated applications, .
  5. Select the type of database from which you want to copy the Taskmaster application database. By default, the Microsoft Access database is used. Do not select the ODBC option for your database type because ODBC databases are not supported in this release.
  6. Enter the following database information in the Source Database fields.
    • Microsoft Access: browse to the location and name of the source database
    • Microsoft SQL Server: type the target database server name and the database name
    • Oracle: type the name of the target database service
  7. Select Network Authentication to use Microsoft Active Directory Domain service account credentials to authenticate your application as a user or service account under which the database software runs. Network Authentication is set up if the user is recognized and is granted read/write access rights to the database.
  8. If you do not select Network Authentication, enter your User and Password credentials for SQL or Oracle authentication. The user credentials and access rights must exist in the database.
  9. Select and enter the appropriate information in the Destination Database fields. Do not select the ODBC option for your database type because ODBC databases are not supported in this release.
  10. Press Copy to copy the Taskmaster application database from the source database to the destination database.
  11. Press Exit to shut down the Database Copy Utility tool.
