Use this information to create an Admin, Reporting-only or Standard user

Create an Admin user

Organization administration users can manage and create accounts for all Acoustic Campaign users, including assigning user roles and enabling and disabling for all users.

Organization administrators manage accounts for Acoustic Campaign organization users. They can assign user roles and enable and disable features and functions at the user and organization level.

  1. Go to Settings > User management.
  2. On the User Accounts page, click Create User Accounts. The Create User page opens.
  3. On the Create User page, select Org Admin as the Roleand complete the User Information fields.

    Configure these settings.

  4. User Permissions This option grants the Organization Administration user permission to set up, block, and change user accounts. It also allows the organization administrator to change your organization's settings. Org Admin User Permissions include all standard user permissions. Use this option wisely, ensuring that you give full organization access only to users who are trustworthy - preferably someone who is responsible for implementing your organization's email decisions.
    Note: You might not see certain rights if your organization is not enabled for that feature.
  5. Organization Administrative permissions include:
    • Survey access: Select to give user organization administrator or standard access to the Survey application.
    • Send rights: Select if the user can send emails from this organization.
    • Landing Pages - full access: Select to allow user to access, create, edit, or publish landing pages that are created in this organization.
    • Enable use of Assume Identity API: Select to allow the user to call the Assume Identity API. This API allows Acoustic Campaign's Professional Services/CIS team access to make API calls on behalf of your organization.
    • Enable SMS: This option allows the user access to create and send SMS messages and to add the user to the organization in the SMS Campaign Manager.
    • Enable mobile push notifications: This option allows the user to create and send push notifications.
    • Enable development for mobile push notifications: This option allows the user to add mobile push apps to the Development menu.

      Click Save to save all changes.

  6. Email and Landing Page Settings Use these settings to:
    • Determine whether users can see the emails in a browser window
    • Enable the WYSIWYG editor
    • Set the default view for Shared and Private folders
    • Enable Seed Lists
    • Select Approval Groups
  7. Email and Landing Page Preferences These settings include:
    • Default 'Click to View' link At Top of email: Select to include a Click-to-View link at the top of every email (allowing users to view the email in a browser window).
    • Enable WYSIWYG editor: To enable the WYSIWYG (Web Compose) editor in the email body area, select the preferred default setting - Design or Source. The default view for the Web Compose editor is the Design view. If you prefer the user to manually enter HTML code rather than using the WYSIWYG editor, select Source as the user's default view.
    • Default Folder Visibility: Select Private or Shared. This determines whether the user's Shared or Private folder opens first. The Shared default is the preferred option.
    • Default contact source from template on Send / Delivery: These settings allow you to choose if the system automatically attaches the contact source that is used in an email Template to the Send emails draft. If this option is checked or is not shown in the email and Landing Page Settings, the user does not have to choose a contact source in the Send email draft, although the user can change the contact source. If this option is visible and is not checked, the user will has to select a contact source on the Send email draft.
    • Seed List Settings: These settings control the use of seed lists.
    • Approval Groups: Select an approval group from the list to require approval by a group before this user is allowed to send an email. You can assign multiple groups to a user; however, only one person from each group must approve the email.
  8. Application Settings Lists all application account access available for the organization that integrates with Acoustic Campaign.
  9. User IP Restrictions sections: A user's access to Acoustic Campaign can be limited to certain IP addresses. IP addresses entered in the User IP Restrictions area override any IP restrictions added at the organizational level.
  10. To add IP addresses for a user take the following steps.
    1. Go to User Accounts under Settings.
    2. Click the name of the user.
    3. Select User IP Restrictions.
    4. Click Add new IP Address. The Add Allowed IP dialog box opens.
    5. Enter the IP address in the field and click Add.
    6. Select Allow UI Access and/or Allow API Access to allow the user access to Acoustic Campaign User Interface and/or the API from the specified IP address.

You can also add a range of IP addresses.

Create a Reporting-only user

A reporting-only user can view and create reports.
  1. Go to Settings > User management.
  2. On the User Accounts page, click Create User Account.
  3. On the Create User page, select Reporting Only User as the Role and complete the User Information fields.
  4. Configure these settings:
    • User Permissions - Users with Reporting-only permission can access only the Reports area. They are not able to access any other areas and are not able to see or use Acoustic Campaign. This setting, which is accessed by going to User Accounts under Settings, permits the user to view reports only. You can allow the user to drill down into reports by selecting Drilldown Access in Reporting and Other Reports or select Access to Reporting (formerly Reports - New).
    • Folder Limits - Reporting-only users can view reports for sent emails in the selected Shared folder and its sub-folders. This area is accessed by going to Folder Limits under the Settings area.

Create a Standard user

In an organization, standard users can access most features and perform most tasks in Acoustic Campaign, except for administration tasks. An organization administrator can set permissions to allow, or restrict access to Acoustic Campaign features and functions for each user.

  1. Go to Settings > User management
  2. On the User Accounts page, click Create User Account. The Create User page opens.
  3. On the Create User page, select Standard User as the Role and complete the User Information fields.
  4. Configure these settings:
    • User Permissions - You can grant these permissions in full or you can use various restrictions to customize them. Select the Standard Rights option, and then select the check boxes next to the permissions you want the user to have. Permissions include:
      • Survey Access: Select to give user organization administrator or standard access to the Survey application.
      • Data Access: If the user has access to databases, select this check box. You can assign data access permissions so users can access just the data and objects they need to work with. Data access options include:
        • Add/remove contacts from contact lists
        • Edit queries
        • VMTA list access
      • Report Menu access with access to Other Reports: Choose this option to grant the user access to reports. Select if the user has access to drill down access in reporting and other reports, analytics, or reporting (formerly Reports-New).
      • Allow user to upload content to Stored Files and email Templates: Select this check box to give the user access to upload images into emails and stored files that use the Web Compose environment. If not selected, the user can insert images only from shared stored files or paste the URLs of images that are hosted elsewhere.
      • Allow user to override Frequency Settings at the email level: Use this setting to give the user the ability to override the organization's frequency settings when the message is sent.
      • Allow user to override Inbox Monitoring option at the email level: This setting allows the user to override the organization's inbox monitoring settings when the message is sent.
      • Move templates to shared rights
      • Create templates
      • Send Rights: Choose Approval Required to require that all regular emails are first approved by an organization administrator before the emails are sent. The No Approval setting gives the user the ability to send emails without any review or approval process.
      • Allow user to access automated message groups
      • Landing Pages access: Includes publish site rights, create/edit site rights, and reporting access rights.
      • Enable use of Assume Identity API
      • Enable SMS
      • Enable mobile push notifications
      • Enable development for mobile push notifications
    • Folder Limits - Folder limit options that restrict which features in Acoustic Campaign the user can access.

      Users with this limited access are not able to view automated or program emails, nor the subscribers report. This level of permission is for those who do not use the Acoustic Campaign application to send email, but who need to see the results of the organization's email programs.

    • Data Access
      • Limit shared database access to this folder and its sub-folders
      • Limit shared query access to this folder and its sub-folders
      • Limit shared contact lists access to this folder and its sub-folders
      • Limit shared test, seed, and suppression list access to this folder and its sub-folders
    • Content/Resource
      • Limit shared asset library access to this folder and its sub-folders.
      • Limit shared templates access to this folder and its sub-folders.
      • Limit shared stored files access to this folder and its sub-folders.
      • Limit shared emails access to this folder and its sub-folders.
    • Email and Landing page settings - Use these settings to:
      • Determine whether users can see the emails in a browser window.
      • Enable the WYSIWYG editor.
      • Set the default view for shared and private folders.
      • Enable seed lists.
      • Select Approval Groups
    • Email and Landing page preferences - Use these preferences to:
      • Default 'Click to View' link At Top of email: Select to include a click-to-view link at the top of every email (allowing users to view the email in a browser window).
      • Enable WYSIWYG editor: To enable the WYSIWYG (web compose) editor in the email body area, select the preferred default setting - design or source. The default view for the web compose editor is the design view. If you prefer the user to manually enter HTML code rather than using the WYSIWYG editor, select Source as the user's default view.
      • Default Folder Visibility: Select private or shared. Determines whether the user's shared or private folder opens first. Shared is the most common option.
