How do I access GDPR requests through the Acoustic Campaign user interface?

The Acoustic Campaign user interface now provides ease of access to the GDPR menu for Right of Access and Right to Erasure.

About this task

Both standard users and organization level users can access the GDRP menu in the Data area of the user interface.

Prerequisite

Ensure that GDPR LookUp keys are selected for the database for which the GDPR request is to be made.
Note: Lookup keys are a feature of Flexible key databases. Email is used for the GDPR LookUp on Restricted databases.

Within your database, you are able to select up to 5 fields from the GDPR Lookup Fields screen. These fields will be used for GDPR LookUps. To configure this setup, go to Settings on the Database details screen. Click the GDPR LookUp Fields tab, then select up to 5 fields that you want to use as GDPR Lookup Fields. Click Save.

Procedure

  1. Go to Data. The GDPR menu is available for access in the Database and Suppression Lists tabs
    Note: For Suppression lists, only the GDPR Erasure option is available for selection.
  2. Select a database and click the GDPR tab to select GDPR Access or GDPR Erasure.
  3. Once a selection has been made, you are redirected to the relevant GDPR request page to submit the request.
    Note: The GDPR Erasure and GDPR Access menu will not work if:
    • Multiple databases or suppression lists are selected.
    • A Fast Campaign Integration (FCI) database is selected.
    • A folder is selected.
    • A standard user attempts to perform a GDPR request on a shared database.
  4. On the GDPR request page, you must select a CSV file and click Submit.
    Note: As expected in GDPR APIs, the CSV file has only identifierType, identifierValue pairs in separate lines. GDPR CSV example

    Active GDPR jobs can be see on the Resources page in Acoustic Campaign. When responses are deleted, in 3 days after the job is successful, the job is archived and will not be available on the GDPR jobs page under Resources.

    Upon successful submission, you will be redirected to the GDPR Jobs page. Here you will see a listing of all requests submitted by a Standard User. If the user is an Org Admin, all the jobs for the organization will be shown. Additionally, you will be able to download the response for successful jobs for the databases owned by you. The GDPR Jobs page is also accessible through the Resources page in the user interface.
    Note: The response download is available when the job status is SUCCESS.
