Assigning programs to clients

You must assign a program to a client before you can enroll them in the program. You can then get consent or gather any required information to decide if you can proceed to enroll the client.

About this task

The options to select Source and Original Source are displayed only when you select a program and if configured to be shown by your administrator. If configured to be shown, you can select the source of the program (mandatory) and the name of the original source system where the program (optional) originated. The Source value represents the configured platform that is sharing data, for example, Watson Care Manager. The Original Source System is the name of the system where the data was entered for the very first time.

Procedure

  1. Sign in to your account.
    Your home page opens.
  2. To see your clients, from the Side Navigation Menu, select Clients > My Clients, or search for other clients.

    By changing the filters on My Clients page, you can change your client list view. For example you can apply a filter to view only your High Priority clients. Click Add Filter to add a filter and further refine your client list view by Name, Date of Birth, Priority, Programs, or Phone Number. When you filter by Name, you can search by Last Name, First Name to return a client record that exactly matches that name. If you do not know the exact details to search for, you can complete a partial search by entering one or more characters in the client's name. In this case, the search results might return multiple name records that contains the partial string or character that you entered. Special characters are supported in name searching, for example, you can search for the last name of O'Neill. Note that searching for ONeill will return O'Neill name records but a search for O' Neill (with a space) will not return O'Neill name records.

  3. Click a client name.
    Their Summary View opens.
  4. Click Programs > Programs from the navigation menu.
    The Programs list opens.
  5. Click Assign.
    The Assign Program page opens.
  6. Select a program from the list.
  7. Enter the program assignment date.
  8. Optional: Enter a comment.
  9. If the Source Systems section is configured to display, do one or more of the following steps:
    • From the Source list, you must select one of the configured values that indicate the source of the program.
    • From the Original Source System list, you can select one of the configured values to indicate where the program originated.
  10. Click Save.
    The program is assigned.
  11. Review any tasks that program assignment has generated for the care team. Complete tasks, as needed.
  12. Optional: Add goals that the program suggests for the care plan. Review the actions that might be associated with such goals
  13. Optional: If the program stays in Assigned status longer than is typical for your organization, you can change the program status to Pending.
