Setting up synchronization

Synchronization Manager is a function of the Lotus® Expeditor Client that enables users and applications to initiate, control and monitor synchronization of local data stores using one or more synchronization services.

You can synchronize data manually, or on a schedule. You can access the synchronization tab by selecting the Synchronization option from the Open toolbar button. The synchronization tab displays a list of applications that you can synchronize and provides synchronization details, such as when the application was last synchronized, and the server to which the application was synchronized. It also provides the ability to start or stop synchronization, as well as providing a quick way to set synchronization schedules and change options. If there are no applications available to synchronize, then the Synchronization option is not presented from the Open button.

You can also access the synchronization schedules page from the Preferences panel. The synchronization schedule enables you to set two sets of schedules: normal, and high priority. You can also specify synchronization triggers to be applied to all synchronizable applications.

To synchronize an application immediately:

  1. Click Open > Synchronization.
  2. In the Synchronization tab, highlight the application that you want to synchronize.
  3. Right click to access the context menu and select Synchronize the selected application now.
To synchronize multiple applications immediately:
  1. click Open > Synchronization.
  2. In the Synchronization tab select each application that you want to synchronize. A check mark in the Enabled column indicates that the application will be synchronized.
  3. Click the Start Now drop down menu icon, then select Start Now.
  4. (Optional) To stop synchronization, click the Stop button from the Start Now drop-down menu.
Note: Composite Applications use Sync Hierarchies. In these hierarchies the parent affects what can be done by the children. If the parent is disabled, the children can not be enabled. Also, children can not be synchronized independently of the parent.

To specify an application as High-priority for synchronization:

High priority applications have a special schedule that allows them to sync more frequently than other applications; their entries appear with a check mark in the High-Priority column.

To specify an applications' synchronization priority, select the entry's check box in the High-Priority column on the Synchronization tab. You can also use the context menu to set an application as high priority.
Note: Composite Applications use Sync Hierarchies. In these hierarchies, only the top-level parent will have the High-Priority option. The enabled children will synchronize based on this top-level priority.
  1. Click Open > Synchronization.
  2. In the Synchronization tab, highlight the application that you want to set as High-priority.
  3. Right-click to access the context menu and select Use the High-Priority Schedule for this Application.

To set or change the synchronization schedule:

  1. Click Open > Synchronization.
  2. In the Synchronization tab, click the Schedule drop-down menu icon, then select Set or Change Schedule. The Synchronization page is displayed.
  3. Select Synchronize at this interval for normal priority and specify the schedule:
    • In the Daily from field, specify the start and end times that define the period of the day during which you want synchronization to occur.
    • In the Repeat every field, specify the number of minutes you want to elapse between synchronization sessions.
    • In the Days of the week field, specify the days on which you want the synchronization to occur.
  4. (Optional) Select Synchronize at this interval for high-priority and specify the high-priority schedule using the steps above.
  5. (Optional) Select any other replication triggers and whether or not you want to be prompted when each trigger occurs.
    • Synchronize when I start the client causes the synchronization to occur each time you start Lotus Expeditor.
    • Synchronize when I reconnect after being disconnected causes synchronization to occur when you connect after being disconnected.
    • Synchronize when I go offline causes synchronization to occur before you disconnect Lotus Expeditor from the network.
    • Synchronize when I shut down the client causes synchronization to occur when you close Lotus Expeditor. The synchronization will take place before Lotus Expeditor exits.
    Selecting to be prompted when each trigger occurs enables you to decide if you want to proceed or cancel the synchronization.
  6. Do one of the following:
    • Click Apply to save your changes but keep the Preferences dialog open.
    • Click OK to save your changes and close the Preferences dialog.
    • Click Restore Defaults to restore the default schedule settings. Your current settings will be lost.
  7. On the Synchronization tab, ensure that the application entries you want to synchronize on schedule have check marks next to them in the Enabled column
To disable all synchronization schedules:
  1. Click Open > Synchronization.
  2. In the Synchronization tab, click the Schedule drop-down menu icon, then select Disable all scheduled synchronization.
