Alert Rules
You can set automated alert rules for your projects to send notifications to specific users when a workflow or Flow service fails, timeouts, or completes execution.
In the Monitor page, click Alert Rules.
Workflow Alerts
You can send alert notifications to specific recipients when one or more events occur during workflow execution. With this feature, you can keep relevant users updated about the status of workflow executions.
Adding Workflow Alert Rules
To add an alert rule, go to the tenant homescreen > Monitor > Workflow Alerts.
Click the Add Alert button that is at the right of the screen to create a new alert rule. You are redirected to a New Workflow Alert configuration screen.
In the New Workflow Alert configuration screen that appears, enter the details as instructed,
- Name - Provide a suitable name for the alert rule.
- Description - Enter a short description for the alert rule.
- Select Workflow - Here, you find the list of all projects and their associated workflows. From this list, select one or more workflows for which you want to create the alert rule.
- Select Event - Select one or more events for which you want to set the alert rule.
- Add Users - Here you find the list of users who are associated with your tenant. Select the email IDs of the users that you want to send the alert notification to when one or more specified events occur.
Next, click Save. This action adds the specified alert rule for your tenant. By default, the status of the added alert rule is Inactive. You need to manually activate the alert rule by using the Active toggle button.
Now, whenever the selected workflow fails, timeouts, completes execution, an alert notification is sent to the specified email address.
Managing Workflow Alert Rules
When you click Workflow Alerts, the list of existing alert rules for your tenant is displayed. Here, you can see the name of the alert rule, along with its description and status (active/inactive).
- Active - You can activate or deactivate the alert rule by using the Active toggle button.
- Edit - You can change the alert rules settings by clicking Edit.
- Delete - You can delete the alert rule by clicking Delete.
- Use a custom sender address for alert email notifications - Previously, all alert email notifications were sent from the default sender address set by IBM webMethods Integration. You can now use your own SMTP configurations to send alert email notifications from a custom sender address. To do so, you need to share the relevant details of your SMTP configuration with the Customer Service team, which in turn sets up a custom SMTP config in the internal portal.
- Display the tenant name in the subject of the alert email notification - All alert
email notifications contains the name of the tenant for which the notification is created. This
helps you to clearly distinguish between alert notifications of different tenants. Subject format -
IBM webMethods Integration alert -<workflow_name> from Tenant: <tenantname> - Display tenant time zone in alert email notifications - Previously, all alert email notifications had the Coordinated Universal Time time zone. Now, each alert email notification displays the relevant time zone of the tenant for which the notification is created. Also, alert emails use the time zone that is based on the tenant owner (the user who created the tenant). To change it, update the tenant owner's time zone in IBM webMethods iPaaS and log in to the application. Future alert emails reflect the new time zone.
Flow service Alerts
You can send custom notifications to specific recipients when one or more events occur during Flow service execution. With this feature, you can keep relevant users updated about the status of Flow service executions.
Adding Alert Rules
To add an alert rule, go to tenant homescreen > Monitor > Flow service Alerts.
Click the Add Alert button that is at the right of the screen to create a new alert rule. Along with a new alert rule, you can also add an alert frequency period (5 mins, 10 mins, or 15 mins) to specify how often the alert rule should be run.
You are redirected to the New Flow service Alert configuration screen.
In the New Workflow Alert configuration screen that appears, enter the details as instructed:
- Name - Provide a suitable name for the alert rule.
- Description - Enter a short description for the alert rule.
- Assets - Click Assets and an Add Assets pop-up window appears. Here, you find the list of all projects and assets that are created in the drop-down list. Select the assets for which you want to create the alert rule.
- Select Event - Select one or more events for which you want to set the alert rule.
- Add User - Here you find the list of users who are associated with your tenant. Select one or more email IDs of the users that you want to send the alert notification to when one or more specified events occur.
Next, click Add. This action adds the specified alert rule for your tenant. Now, whenever the selected flow fails, timeouts, completes execution, an alert notification is sent to the specified email address.
Managing Flow service Alert Rules

You can select the alert frequency period (5 mins, 10 mins, or 15 mins) to send email messages based on your requirements by clicking the drop-down arrow beside Alert Frequency.

The alert emails display the tenant's time zone in notifications, which is based on the time zone of the tenant owner (the user who created the tenant). To change it, update the tenant owner's time zone in IBM webMethods iPaaS and log in to the application. Future alert emails reflect the new time zone.
When you click the Flow service Alerts, you view all the list of existing alert rules for your tenant. Here, you can see the name of the alert rule, along with its description and status (active/inactive).
- Active - You can activate or deactivate the alert rule using the Active toggle button.
- Edit - You can change the alert rules settings by clicking Edit.
- Delete - You can delete the alert rule by clicking Delete.
