Working with tasks and workflows

You can access the Tasks page at any point to work with existing tasks and check the status of your workflows.

To access the Tasks page, click the Tasks page icon icon from the top navigation bar.

Tasks

Any tasks that you can claim or have claimed appear in your tasks list in the Tasks tab. From the Tasks tab, you can:

  • See the status of your tasks.
  • Claim any unclaimed tasks that you have access to.
  • Open your tasks and work on them.
  • Choose to be notified by email when you're assigned a task.
  • Filter tasks based on the On track, Overdue, Completed, Claimed, and Unclaimed filters.

If you're an administrator, you can edit the task due date, edit the task priority, or assign a task to a user by hovering over a specific task and clicking the Edit task icon. The users that a task can be assigned to depends on the User assignment setting defined for that task in the Skill studio. By default, you will see only your task list. To see other user tasks, click the Customize your view icon, go under the Select the filters to use section, click Add condition, and set the Owner property to the user's ID.

  • If the task is defined for all users or one specific user, you can reassign the task to anyone in the organization. This includes the situation where the workflow initiator is defined for a task, and when a single user is defined in a variable.
  • If the task is defined for multiple users, you can assign the task only to one of the users defined. This includes the situation where multiple users are defined in a variable, and a list of specified users.

Customize your task view

You can also customize your task list view by clicking the Customize view icon icon. By customizing your task view, you can filter tasks based on conditions and show table columns based on data.

Note: You can only have one custom view for your task list.

The previous image shows the options that you have to customize your view:

  1. Name your custom filter.
  2. Add conditions to filter the tasks you want to work with.
Note: If you're an administrator, you can create conditions to filter tasks based on specific users (owners).
3. Select specific columns to show in your task list based on System data and Custom data.

Workflows

Any workflow that you initiated appears in your workflow list in the Workflows tab. From the Workflows tab, you can:

  • See the list of workflow instances and their status
  • Filter by status
  • Click the workflow to view the individual tasks and their status
