How to Communicate with Users Using Comments and Emails

Targetprocess allows you to post comments almost to any entity. For example, when you open a User Story's detail page, in the Comments section, click Add Comment to write a new Comment:

When you enter a comment, you have the option to notify different types of users by email :

  • Creator- the person who created an entity
  • Assigned people - Users currently assigned to the entity
  • Project Members - Users who are members of the project associated with the entity

These notification options are available only if you have enabled Email Notifications. You can specify the email address for these messages in the Settings > Email Notifications.

In addition to that, go to Settings > Processes > [Process Name] > Notifications to configure the Workflow email notifications to email other types of Users.

Editing and Deleting Comments

You can edit or delete your own comment. To do so, hover over the comment and choose from the following options:

Mention

If you want to ensure that a specific person reads your comment, you can mention them by typing the @sign followed by the first few letters of their name. By mentioning someone in your comment, they will receive an email notification.

Replying to Email Notifications

A User who receives an email notification can reply to the comment from their mailbox. To use this functionality, you must configure the Mail Integration. The purpose of this integration is to create requests from incoming emails and to attach comments to all types of entities.

To help the integration match Comments and their Entities, every outgoing email must have the line "--- Please do not remove this line! CompanyName Ticket#123 ---" at the bottom. It is essential to keep the line when responding to Targetprocess.
