Creating a retention hold
Create a retention hold to prevent data in one or more retention sets from being deleted, regardless of the retention sets' expiration dates.
Before you begin
Before you create a retention hold, the client data that you want to preserve must be in retention sets. Data for any system or virtual machine client can be collected into a retention set and then preserved in a retention hold. If client data is regularly collected into retention sets, you can add the relevant retention sets to the retention hold. If client data was not previously collected into a retention set, you can create a one-time retention set from the Clients page. When you create the retention hold, you must specify at least one retention set. Later, you can add more retention sets to the hold.
About this task
You can create a retention hold to prevent the automatic deletion of data that must be preserved indefinitely. Based on your organization's data-preservation requirements, identify the system or virtual machine clients whose data must be preserved. Usually, backup data that is in a retention set is deleted according to the retention set's expiration date. Backup data that is not in a retention set is deleted according to policies. For the relevant data, you can prevent this automatic deletion by collecting the data into retention sets and adding the retention sets to a retention hold.
When you create the hold, you can specify the reason for the hold and contact information, such as the email address of your organization's legal counsel. This information is then available to other administrators who might later modify the hold. When you create the hold, you also specify one or more retention sets to add to the hold, and the reason they are being added. To help your organization document its preservation actions, the creation date of the retention hold and every subsequent change that is made to the retention hold is logged. Even after all retention sets are eventually released from the hold and the hold is deactivated, the hold log is preserved.
