OneDrive

Procedure

Go to the IBM® Storage Protect for Cloud Recovery Portal portal, and follow the steps below to recover the backup data of OneDrive. You can now recover OneDrive content at both the folder level and the document level.
Note: In IBM Storage Protect for Cloud Microsoft™ 365, the administrator can configure the end-user restore setting to control whether to allow users to preview, restore or export OneDrive backup data from IBM Storage Protect for Cloud Recovery Portal.
  1. Click the OneDrive tile.
  2. You can choose one of the following methods to find the data to restore. If you want to restore your departed employee’s data, click the My employee tab in the upper-right corner.
    • Search mode – Use the properties to search for backup data of OneDrive items. Refer to the steps below:
      1. Configure the following depending on whether you want to restore your own data or your departed employee’s data:
        • Restore your data – If you want to search for backup data by their document names, enter keywords in the search box.
        • Restore your departed employee’s data – Click the Employee field to select the employee. If you want to search for backup data by their document names, enter keywords in the search box.
Note: Administrators can control whether managers are allowed to restore employee OneDrive and Exchange Online data in IBM Storage Protect for Cloud Recovery Portal by configuring the End-user restore settings in IBM Storage Protect for Cloud Microsoft 365.
      2. If you want to narrow your document-level search by additional conditions, or perform folder-level restore, click Advanced to expand the search panel. Then select Document or Folder from the Level field for the items you want to find.
        • If you select Document, enter keywords for the document name in the Document name field. In the Folder name or location field, enter keywords for the folder name, or provide the folder location (example: folder name\subfolder name).
        • If you select Folder, enter keywords for the folder name in the Folder name field.
        • Click Search to search for the backup data. If you want to reset the search conditions, click Reset.
      1. The search results are listed in the table below. A maximum of 2000 search results can be displayed.
        You can do the following:
        • By default, the items listed in the search results table are the latest backup data. If your desired items are not in the table and there is a message indicating that you can search for more backup data, click here in the message at the bottom of the table.
        • If you want to modify the search conditions, click the Advanced search () button to expand the advanced search panel and configure the search conditions. You can click the Cancel () button to clear the current search conditions.
        • Click the document name of a file to preview the file. In the preview window, use the buttons located content in the upper-right corner to restore, download, or print for the file. When downloading the file, set a password. This password will be required to open the downloaded file.
        • By default, the Generate public link button is not available in the preview window. Administrators can enable this option by navigating to the End-user restore settings in IBM Storage Protect for Cloud Microsoft 365 Backup. When generating a public link, set both an expiration date and a password to ensure security.
        • The following file types are supported by the preview function: Word (DOC, DOCX, RTF, DOT, DOTX, and DOTM), Excel (XLS, XLSX, XLSB, XLT, XLTX, CSV, and TSV), PowerPoint (PPT, PPTX, PPS, POT, PPSX, PPTM, PPSM, POTX, and POTM), and PDF.
Note: Files that have sensitive labels with encrypted data, contain archived data, or exceed 10 MB in size cannot be previewed.
    • Tree mode – Browse and find the backup data of OneDrive items. The Tree mode can load all folders on the tree. The folders that were previously backed up but later deleted from Microsoft 365 are also included in the Tree mode. Refer to the steps below:
      1. Click Try using the tree mode to switch to the Tree mode.
      2. On the left side of the page, click your or your employee's mailbox to display the folders in OneDrive backup data from the latest recovery point. Selecting a folder from the list will show its contents in the table on the right, along with any subfolders.
      3. In the search box, you can enter keywords to search for subfolders or documents in the current folder by name. The search results are listed on the right side of the page. Note that the search conditions you configure will automatically apply to the folder you select.
  3. To select one or multiple items to be restored or exported, select the checkboxes next to the items. If you want to select all items, select the top checkbox next to Document name in the table.
    Note the following:
    • Both content and security of the selected items will be restored.
    • Previous versions of files cannot be restored.
    • If the last modified time of the conflicting destination content is the same, the restore will be skipped; if the last modified time is different, the conflicting destination content will be kept, and the backup data of the conflicting content will be added to the destination with a sequential number suffix (for example, _1) added to the file name.
    • If two users have the same email address, for security concerns, IBM Storage Protect for Cloud Recovery Portal does not support one user in restoring the other user’s OneDrive backup data.
    • By default, sharing links for the content won’t be restored. When necessary, administrators can enable the restore of sharing links in IBM Storage Protect for Cloud Microsoft 365.
  4. Click Restore to restore the selected items to their original locations, or click Export to export and download the selected items to a local path.
  5. Once the restore/export job starts, you can go to Request history to view the progress of the job. In Request history, you can also view simple job reports and download exported data. For more details, refer to View Request History and Download Exported Data.
