Mail file quota
A size limit (quota) of 50 GB is enforced on mail files. An exception is the mail files of SmartCloud Notes® Entry users, whose mail files have a 1 GB limit.

When a mail file nears its quota, users receive a warning notification that they are nearing the quota. It is important that users heed this warning and delete or archive messages to prevent the mail file quota from being reached. Web client and Notes client users can also see how close they are to quota by clicking the quota status bar that is shown near their name in the mail file.
When a user’s mail file quota is reached, the user cannot receive mail. Instead, the user receives a notification that mail is being held for delivery. Mail is then held for approximately three days. If the mail file size is reduced, the held mail is delivered. If the mail file size is not reduced, or if the number of messages held exceeds 1000 (the number of held messages allowed), the sender of a message receives a delivery failure notification.
If quota is reached, users are advised to delete mail and empty trash to get below quota. However, it is possible for Administrators to prevent users from emptying trash. In that case, Notes users can archive locally to reduce the number of messages in their mail folders. For web client and Verse users, archiving is not available, which is why it is important for users to heed any quota warning notification immediately. For information about managing Trash settings for users, see Configuring how long mail remains in the trash folder.
Some clients continue to allow mail to be sent when quota is reached, as described in the following table. When a user with an over-quota mail file sends a message that cannot be delivered, the user does not receive a delivery notification failure. The service retries sending the delivery failure notification for about a day, and if not successful, deletes the notification.
Client | Sending mail without saving a copy | Sending mail and saving a copy |
---|---|---|
Notes | Mail is sent. | Mail is sent but not saved. |
Web client | Mail is sent. | Mail is not sent or saved. |
Verse | Mail is sent. | Mail is not sent or saved. |
IBM® Traveler | Not supported. | Mail is not sent. Mail stays in the Outbox and the client tries to resend. |
