When the name of a user changes, you edit
the user account to change the name in one or more fields that include
the user name. After you change the name, a multi-step process occurs.
Many of the steps occur asynchronously, so there is no set time by
which the rename process completes, although renames generally complete
within one day.
About this task
If you change a user’s distinguished name, follow
these guidelines to ensure a successful rename operation:
- Do not do two successive renames, one right after another. Wait
until the user who is being renamed accesses the SmartCloud Notes service
with their existing name before you issue a subsequent rename.
- Do not change the distinguished name of a user who was just added
to the SmartCloud Notes service.
Wait until after the user accesses the service before you change the
name.
- Be very careful when you enter the distinguished name.
- If a rename fails to complete, contact IBM
SmartCloud® Notes Support.
Tip: If the IBM Notes user
name of a delegate changes, then the owner of the mail file must reassign
delegation to the new name. Reassigning delegation updates the mail
file access control list (ACL), allowing the delegate to access the
database.
Procedure
- Determine if there are any problems that might prevent a successful rename. Finding any
problems before you attempt a rename saves time. Do no skip this step.
- Log on to http://www.ibmcloud.com/social using the e-mail address and password of a SmartCloud Notes user with the Administrator
role.
- If your account also has the User role, click .
- In the System Settings section of the navigation pane, click
IBM SmartCloud Notes.
- Click Users.
- If your organization uses partitions, select the partition.
Tip: If you do not know the user's partition, click User Accounts
in the navigation pane to locate the user and view the partition assignment. Alternatively, if you
have the Administrator role, select All to view the names of users in all
partitions.
- In the Search box,
type the beginning characters of any of the following user values
to display the user's name:
- Distinguished name, for example, Samantha Daryn/Renovations.
- Internet email address, for example, sdaryn@renovations.
- Last name, for example, Daryn.
A
"starts with" search matches values for names that begin
with letters you specify. It does not include results where the specified
letters are simply included in the name. For example, the results
of a search on
ma might include
masmith@renovations and
Kristin
MacGyver, but would not include
tamado@renovations.
Search results can include a maximum of 1000 names. You cannot use
the wildcard character (*) when you search.
- Click the user's name in the search results.
- Under Available actions for this user, click Rename
Report.
- If you see the message User is ready for rename, continue to the next step. If
you see the message User is not ready for rename, read the explanation that is shown
and correct errors. Repeat this step until you see the message User is ready for
rename.
Examples of common errors

There is a problem with the password that is associated with the user's ID
in the vault. Do not rename this user yet. Reset the user's password and tell the user
to log in with the new password.
The user is already in the process of being renamed.
Do not rename this user yet. Wait for the current rename to complete. If this message occurs
for more than 3 days in a row, contact IBM support for help.
- Log on to the service as an administrator.
- If your account also has the
User role, click .
- In the navigation pane, click User
Accounts.
- Click the arrow next to a user's name and select Edit.
- Change the name in any field.

When you change the name in one or both of
these fields, the account name changes. This name is the one that
applies to all subscriptions enabled for the user.
Note: Users
can change their account names themselves by editing My
Account Settings.

This name identifies users for authentication
in Notes and
is used when users send Notes mail. When
you change the distinguished name, the name is changed in directories,
in database ACLs, and in other groups that are used by the service.
Only
the common name portion of a distinguished name changes. For example,
in the distinguished name sdaryn/renovations, only sdaryn can
be changed. Make sure that you know how to form a distinguished name.
Important: Before you save your changes, make sure that you
typed the new name correctly. After you save your changes, do not
make any further corrections or changes to the Distinguished
Name field before the name change process completes. See
the table that follows for information about the timing of name changes.

Email is the account
login identity. If there is no Notes Email field,
the login identity is also the user’s Notes Internet
mail address.
Notes Email is the user’s Notes Internet
mail address. This field is shown only if a subscription other than SmartCloud Notes was
added first, and the SmartCloud Notes subscription
was added later.

name in the Users list in SmartCloud Notes Administration.
