Managing tenants

In the Tenants tab of the Administration page, you can view a list of tenants and create new tenants. Tenants in IBM Process Mining are user groups who share a common access with specific privileges to the software instance. Depending on your requirement, you can create single-tenant and multitenant environments. When you have multiple tenants, people from a tenant cannot see the people and assets from another tenant, even if accessing the same environment.

Note: Multi-tenant environment is only available for on-prem configurations of IBM Process Mining.

Creating tenants

To add a new tenant, complete the following steps:
  1. On the home page, click the Administration tab.
  2. Go to the Tenants tab.
  3. Click Add new tenant.
  4. Enter the following details of your tenant:
    • the name
    • custom column limit
    • default currency
    • default RPA vendor
    • pluggable RPA bot generator timeout (in seconds)
  5. Click Next.
  6. If you are using a SaaS environment, enter the following information about your tenant license:
    • expiry date
    • maximum amount of users
    • maximum amount of analysts
    • maximum amount of storage
  7. Click Next.
  8. Enter the following details of the password policy inside your tenant:
    • maximum password age in days (how long can a user keep the same password before they have to change it)
    • maximum password history depth (the new password cannot be the same as how many previous passwords)
    • maximum password length
    • minimum password length
    • minimum number of digits in a password
    • minimum number of lower cases in a password
    • minimum number of upper cases in a password
    • minimum number of special characters in a password
  9. Click Next.
  10. Enter the following details of your lock account policy:
    • whether to enable lock policy
    • the number of auto-lock days
    • number of log in attempts before lock
    • time frame of attempts before lock
  11. Click Create.

Deleting tenants

Important: When you delete a tenant, it is gone permanently and cannot be restored.
To delete a tenant, complete the following steps:
  1. On the home page, click the Administration tab.
  2. Go to the Tenants tab.
  3. In the tenant's row, click the Delete button.
  4. To confirm, enter the name of your tenant.
  5. Click Delete again.

Editing tenant details

To edit a tenant, complete the following steps:
  1. On the home page, click the Administration tab.
  2. Go to the Tenants tab.
  3. Click the Edit button corresponding to the tenant that you want to edit.
  4. In the Tenant detail tab, make the necessary changes in details, password policy, or lock account policy. For more information on the information you can edit, see Creating tenants.
  5. Click Save.

Viewing tenant details

To see detailed information about a tenant, complete the following steps:
  1. On the home page, click the Administration tab.
  2. Go to the Tenants tab.
  3. Click the Edit button corresponding to the tenant.
  4. Go to Tenant summary to see the following information:
    Project count
    How many projects there are in this tenant.
    Row count
    How many rows there altogether are in all the projects.
    Process mining storage
    How many bites of storage is taken up in Process mining.
    Task mining recording storage
    How many bites of storage is taken up in Task mining.
  5. View the table to see the following information:
    • Names and usernames of users in this tenant
    • How many projects each user has
    • How many rows these projects consist of altogether
    • How much storage the tenant takes up.
