Using dashboards
You can use the Analytics page to create dashboards and widgets which present relevant process data in a clear, engaging way. A dashboard is a collection of widgets. Widgets include different types of charts, graphs, tables, and other types of diagrams. With these tools, you can visualize data, analyze it, and filter it for specific results. Then, you can share your dashboards with other users to explore the statistics of your process together.
Before you begin
- the event log of your project
- both the event log and object tables of your project
- only object tables of your project (you do not have to upload an event log)

Creating a new dashboard
- Open the project which you want to analyze.
- From the menu on the left, go to Analytics.
- Click New > Create dashboard.
- Give your dashboard a name.
- Ensure that the option Start from empty dashboard is selected and click Confirm.
- To fill the empty dashboard with widgets, click Add widget and select a widget. For more information about different types of widgets, see Widget types.

Note: You can add 8 widgets per dashboard. If you need more, you can create another dashboard.
- Click Save.
- Optional: Configure and personalize your widgets to make them visualize exactly the data you need, in the way you need. For more information, see Configuring widgets.
Creating a dashboard from a template
- Open the project which you want to analyze.
- From the menu on the left, go to Analytics.
- Click New> Create dashboard. .
- Optional: Give your dashboard a name. If you don't name your dashboard, it will be named after the template.
- Select a template. You can pick from the following template options:
- Automation analysis
- This dashboard focuses on highlighting activities with highest costs and reworks which might be prevented by adopting intelligent automation.
- Comparison
- This dashboard focuses on comparing two or more different behaviors. Apply different filters on the left and right side of the dashboard to compare the results.
- History and trends
- This dashboard focuses on analyzing historical statistics and performances from a time and resource allocation perspective.
- Operational excellence
- This dashboard focuses on ongoing processes, highlighting cases that have been pending for a long time. Additionally, you can use the table widget to detect pending cases and alert you about them. For more information about how to monitor widgets and use them to trigger actions (like alerting you), go to Setting a monitor for Analytics widgets.
- Process overview
- This dashboard focuses on overall process KPIs and details such as volumes, time, and costs. For this dashboard to work, you have to input your cost settings in the Data & Settings> Cost Settings tab. For more information, see Cost Settings.
- Workforce optimization
- This dashboard focuses on workforce, analyzing who works on which activities, and who works together. For this dashboard to work, you have to map the resource and role fields of your event log in Data & Settings. For more information, see
- Click Confirm.
- Optional: Configure and personalize your widgets to make them visualize exactly the data you need, in the way you need. For more information, see Configuring widgets.
Importing a dashboard
- Open the project which you want to analyze.
- From the menu on the left, go to Analytics.
- Click New> Import dashboard.
- Give your dashboard a name.
- Select a file from your device. The file must be in a
.dashboardformat. - Click Import.
Managing multiple dashboards
If you created a few dashboards, you can see all of them on the header of the Analytics page listed in an alphabetical order. If you have so many dashboards that not all of them are visible on the header, click on the Dashboards button to see the full list.
If you want a particular dashboard to be the main dashboard that opens every time you go to Analytics page, you can set it as the default dashboard. To do so, open the dashboard and click the Set as default button.
Editing a dashboard
- Open a project to which this dashboard belongs.
- From the menu on the left, go to Analytics.
- From the header, open the dashboard that you want to edit.
- Click Edit dashboard. You can now do any of the following actions:
- To rearrange your widgets, grab and drag them to the desired location.
- To change the size of a widget, grab and drag the arrow in its right lower corner to the desired size.
- To add a new widget, click Add widget and select a widget. For more information about different types of widgets, see Widget types.
- To delete a widget, click the menu button on that widget and click Delete widget.

Note: You can add 8 widgets per dashboard. If you need more, you can create another dashboard.
- Click Save.
Changing basic dashboard information
- Open a project to which this dashboard belongs.
- From the menu on the left, go to Analytics.
- From the header, open the dashboard that you want to edit.
- From the button on the header, click Dashboard info.
- Edit the name and description. Note: In the Dashboard info window, you can also see the owner of the dashboard and the slug (unique identifier) of the dashboard. The slug cannot be changed. The owner of the dashboard is the user who created it or the user to whom the project (and consequently all the dashboards) was reassigned to. You cannot reassign a single dashboard to another user, but you can reassign all the dashboards by reassigning the whole project to another user. Only the owner of the project or an admin can reassign the project to someone else. To reassign a project, go to Administration > Users > Edit specific user > Projects and Components > Reassign.
- Click Save.
Exporting dashboards
- Open a project to which this dashboard belongs.
- From the menu on the left, go to Analytics.
- From the header, open the dashboard that you want to export.
- On the right, click the Export button.
- Select one of the following options:
.csv- To export the dashboard data in a
.csvformat, give your file a name and click Data source > Export > Download.
.dashboard- To export the dashboard in a
.dashboardformat, give your file a name and click Dashboard > Download.
.doc- To export the dashboard in a
.docformat, select Document > Download. .pptx- To export the dashboard in a
.pptxformat, select Presentation > Download.
.png format. To do so, on
that widget's menu, click Download as image.Copying dashboards
- Open a project to which this dashboard belongs.
- From the menu on the left, go to Analytics.
- From the header, open the dashboard that you want to copy.
- On the right, click the Copy button.
- Give the dashboard copy a name.
- Click Copy.
Deleting dashboards
- Open a project to which this dashboard belongs.
- From the menu on the left, go to Analytics.
- From the header, open the dashboard that you want to delete.
- On the right, click the Delete icon.
- Type the name of the dashboard to confirm that you want to delete it.
- Click Delete.
Filtering dashboards
- To apply a filter on the whole dashboard, click Manage filters. For more information, see Applying filters in Analytics.
- To apply a quick filter on the available string and numeric data, click Quick filters. For more information, see Applying Quick filters in Analytics.
- To apply a filter on a whole dashboard from a widget, select the parameters on the widget and click Filter by selection.
- To apply a filter on a single widget, select a filter template from a drop-down list on that widget.
- User's filters
- Filters applied from Quick filters and widgets. Only you can see them and they cannot be published.
- Dashboard filters
- Filters created from the Manage filters tab. They can be published for others to see.
Sharing dashboards and managing dashboard permissions
Sharing a dashboard within your organization
- Open a project to which this dashboard belongs.
- From the menu on the left, go to Analytics.
- From the header, open the dashboard that you want to share.
- If the Share button is gray, this means that the dashboard is currently private. Click
the button to share it with the organization.Note: If your private dashboard has the same name as one of the dashboards in this project that is already shared within the organization, you will have to change the name.
- If the Share button is golden, this means that the dashboard is currently shared with users in the organization. You can click the button to make it private.
Sharing a dashboard with another user or user group
- Add the user to your organization:
- Go to Administration > Organizations.
- From the list on the left, select the organization in which the dashboard you want to share is in.
- Click Add member.
- Select the user.
- Click Invite.
- Give the user the permission to see your organization:
- Go to Administration > Authorizations > Core: Organization.
- Click Add authorization.
- In Subject type field, select User or User group.
- In Subject field, select the specific user or user group.
- In Resource type field, ensure that Core - Organization is selected.
- In Target resource field, select Specific resource.
- In Resource field, select the organization in which the dashboard you want to share is in.
- In Type field, select Grant.
- In Permissions field, select Read.
- Optional: Select more permissions if you want the user to be able to perform more actions aside from viewing the organization resources.
- Click Add.
- Optional: Now that the user has access to all projects and dashboards in your organization, you
can decide whether you want to revoke some of these accesses. For example, you might not want the
user to have access to some of the projects. To revoke the access to a project in your organization,
complete the following steps:
- Go to Administration > Authorizations >Core: Project.
- Click Add authorization.
- In the Subject type field, select whether you want to revoke the access from a User or a User group.
- In the Subject field, select the specific user or user group.
- In Resource type field, ensure that Core - project is selected.
- In Target resource field, select Specific resource.
- In Resource field, select the project which you don't want the user to access anymore.
- In Type field, select Revoke.
- In Permissions field, select which permissions you want to revoke. If you select the Read permission, the user will not be able to see the project at all.
- Click Add.
- Optional: You might not want a user to have access to some of the dashboards inside a project.
To revoke the access to a dashboard in your organization, complete the following steps:
- Go to Administration > Authorizations > Analytics: Dashboard.
- Click Add authorization.
- In the Subject type field, select whether you want to revoke the access from a User or a User group.
- In the Subject field, select the specific user or user group.
- In Resource type field, ensure that Analytics - Dashboard is selected.
- In Target resource field, select Specific resource.
- In Resource field, select the dashboard which you don't want the user to access anymore.
- In Type field, select Revoke.
- In Permissions field, select which permissions you want to revoke. If you select the Read permission, the user will not be able to see the dashboard at all.
- Click Add.
