Course Publishing Request

Use PMT to register a new course asset request to the IBM Training catalog.

The Training Provider Asset form is used by both GTP and ATP users. The form is the same with few exceptions which will be called out in this document.

The user must have the Training Provider Creator role on their PMT user profile. A GTP user can have either the GTP User role or the Training Provider creator role, however a user can not have both roles on their profile.

Those with the GTP User role on their PMT user profile can log into PMT2 to view and access IBM courses and download associated content for instructor-led courses. This is not available to ATP users as it's not part of their program.

The Training Provider creator also known as the requestor in this document unless there is a need to specifically call one type out for differences. The Training Provider creators can create, edit, and maintain requests for their enterprise. They can only see courses for their enterprise.

In addition to this documentation there is a video, PMT 2.0 GTP Form, that walks the GTP Creator through the process. This video is from the GTP view, however view for the ATP Creators is very similar with differences on the Offerings Tab.

The process to request a new course to the IBM Course Catalog (www.ibm.com/training) requires the completion of an asset form and submission to an Asset Reviewer. Once reviewed the request will be either approved or declined. If approved the course will be published. Once the Asset Reviewer clicks the approved button it will take an overnight feed to update then the course will be searchable on the IBM Training website. If it’s not approved, the submitter will be notified via email with the reasons it was not approved. The requestor can then make the suggested changes and submit it for approval.

NOTE: The requestor must ensure that the content in the asset form is grammatically correct. Avoid run on sentences and ensure sentences end with a punctuation mark. The text fields have a simple editor that only points out misspelled words. The short summary field is 200 character maximum and it is displayed on the IBM Training search results page. The Course Overview, Objectives, and Audience Type all appear on the Course Description page. Make it easy for the potential learner to read a list by adding numeric or bullet lists. Use the “Preview on IBM Training” button at the top of the form to preview of the course description page. The Asset reviewer will not make any adjustments to the fields, they will decline it with comments of what to fix or why it's being declined. Let's walk through how to submit a request.

  1. Log into IBM with the IBM ID that has the same email as your PMT profile's email. If you log in with an IBM ID that has a different email then you won't be able to log into PMT. Next launch PMT2, you will land on the Manage Assets view. You must accept the Terms & Conditions on the first log in. As the requestor, you will see all courses for your enterprise which can be in various asset statuses (also known as lifecycle status): draft, published, and retired.
    1. The requestor can search for courses by using the full or partial title or code. The search will only display courses that have been created by their enterprise. You will not see other training providers or IBM courses.
    2. The Advanced Search additional search parameters. There are two statuses which are Workflow Status and Lifecycle Status work together for Training Provider assets.
      1. Workflow Status is the stage of where the course record is in the registration process. The flow is Draft -> Pending approval -> Approved or Not approved.
      2. Lifecycle Status is the stage of course record of the overall life of the asset. The flow is Draft -> Published -> Retired: End of Life or Retired: Unsupported. It will be in the Draft status until the Workflow Status reaches Approved and then will move to Published. Once the Retire Date is reached it will move to either Retired: End of Life or Retired: Unsupported depending on how you set it. Assets are published for 18 months from the Publish date.
    3. The requestor can return to the Manage Assets view at any time by clicking Assets on the left menu. Ensure you save changes before clicking on the left menu or your work will be lost. There is no cancel button.

  3. For the Delivery Method, you can combine one of the digital methods with one or both instructor-led options. Digital content is all self-paced. Note: You cannot choose self-paced and self-paced (w/Labs) as it the courses either has labs or doesn't.
  4. Fill in the rest of the form. All required fields as indicated by the red asterisk (*). A list of fields available and information on each field is listed in PMT Fields Definitions, Usage, and Standards page.
  5. Select the Portfolio manager that you have been working with in the Asset Reviewer field on the Asset Definitions tab.
  6. The Validate button allows you to check the that all required fields for publishing have been completion needs prior to a Save asset.
    1. If all required fields have a value, then it will indicate success message and with green checks on the tabs and blue checks on the sections within the tabs.
    2. If there are missing required fields, then the message will indicate at the top and the tab will have a red exclamation point as will the section within the tabs. The field will also be highlighted to easily find the field that’s missing data.
  7. Click Save as draft or Submit for approval.
    1. Save as draft – You have entered the minimum information and need to come back at a later point before submitting it for approval. The Asset Code will be generated upon the first save.
    2. Submit for approval – It is best to click Validate to ensure all required fields have a value. You have completed all information and are ready for it to be forwarded to the Asset Reviewer. Please note that any changes once published will require another review cycle.
  8. Once the asset is submitted for approval the Asset Reviewer will be notified via email. They will have 10 business days to review the request and approve or decline the request.
  9. Approved courses are then published. You will be notified via email that the request was approved.
    1. Courses are published for 18 months from the publish date. The Training Provider is responsible to test the course description page and search for the newly published course. It takes an overnight cron job for new courses to be searchable on IBM Training site.
    2. Navigate to IBM Training site at https://www.ibm.com/training/. To see the learner experience, don't log in. Enter either the course code or the course title and search. The course should be in the search results. The title, course code, and short description are displayed along with the skill level, duration, delivery type(s) and if there is a cost.
    3. Click on the course link to go to the Course Description page. Review the page to ensure it appears as you expect. Changes to the PMT published record will once again go through the review process.
  10. Declined requests will not be published.
    1. The Asset Reviewer must give a valid reason on why it’s not approved. In some cases, you may need to add missing information or clarify points of confusion before they will approve it.
    2. The “Do Not Approve reason” field will be visible to the requester on the Assets Definitions tab under the Business Unit Details section. The requestor can then update the record and click “Submit for Approval” to send it back to the Asset Reviewer.

Once your course has been published, you can edit it at any time. Ensure you make a comment on what you updated in the Comments field on the Asset Definitions tab. This is how you communicate will the Asset Reviewer. Note your changes to the record. Click on Submit for Approval once complete as it will go through a new approval cycle.

The current release of PMT 2.0, the Training Provider form does not allow the requestor to change the Retire date. This will be added in a future release. If the Retire Date needs to be updated please open a support ticket on Service Now at https://ibmcpsprod.service-now.com/its. Advise the new Retire Date and reason for the change. You can pull in or extend the retire date.
