Manage a plan

You can modify virtually any component of a plan. You can add, remove, or change the order of tasks and assets in a plan. You can modify group assignments, due dates, and submission requirements. You can also open or close the entire plan or individual plan tasks. If your plan includes tasks that require submission, you can manage group submissions as well.

About this task

You must have the required permissions to edit or manage a plan. A user with the Full control permission becomes the plan owner, and can grant permissions for this plan to other users.

Important: When you perform any action that affects asset or group security for a plan you must explicitly refresh security by clicking Plan actions, then Refresh permissions. Actions that require an explicit security refresh include:
  • Adding an asset to a task
  • Removing an asset from a task
  • Adding a user group to a task
  • Removing a user group from a task
  • Adding an approver with full access to a plan
  • Removing an approver with full access to a plan

While managing a plan, it's possible that other users might contribute submissions or otherwise modify the plan. You can click Plan actions, then Refresh plan at any time to update the plan management page.

Procedure

  1. Open a plan for editing or management:
    1. From the Home menu Home menu, click Applications and Plans.
    2. On the Applications and Plans page, click the Action button Action button for the plan you want to edit.
    3. Click Edit.
  2. To open or close a plan, click the Plan status option to toggle the status of the plan.
  3. To open or close an individual task, click the Status option to toggle the status of the task.

    When you open a task that includes at least one asset and has at least one user group assigned to it, you'll receive the option to Notify users when you open the task.

    Step notification option

    If you select the Notify users option and then click Open to open the task, all users in the groups assigned to the task receive an email notification indicating that their contribution to the plan is required. The email includes a direct link to the plan task.

    If the Everyone group is assigned to the task, email is not sent to members of the Everyone group when the task is opened.

    Note: The Notify users option appears only when you open a task in a plan that is open. If you open a task in a closed plan, there is no option to send email notification to users.
  4. To edit a task, click the Edit icon on the task.
  5. Use the Task details tab to modify the task name, description, due date, submission requirement, or status.
  6. Use the Assets tab to add, remove, or reorder the assets for a task.
  7. Use the Groups tab to add or remove groups for the task.
  8. If a task requires submission, click Submissions tab to view a report of group submissions for the task.
    The Submissions page shows the date on which each group submitted their contributions, along with any message that the submitter provides.
    If the submission is not satisfactory, you can click Reset to rest the submission status for any group. The group must then contribute a revised submission. When you reset a submission, groups and users are not notified, but the submission status message for the group is removed from the plan contribution page and the status icons for the task are reset.
  9. To add a task to a plan, click Add task, then define the task as described in Define a plan and assign co-owners.
  10. To delete a task from a plan, click the Delete icon, then confirm the deletion.
  11. To modify plan announcements, click the Announcements tab.
    1. Click Create to add an announcement.
    2. Select an existing announcement and click Delete to remove an announcement.
  12. To add or remove approvers to a plan, click the Action button Action button for the plan you want to edit.
    1. Click Set Permissions.
    2. In the Permissions column, set the permission for an individual user. When you assign Full control permission to a user, the user is a plan approver and has full control over the plan.
    3. Click Save.
