Any user that is a member of a user group that is assigned to at least one plan asset can
open and contribute to a plan.
About this task
When you open a plan for contribution, you can see and open only the tasks and assets that have
been assigned to a user group that you belong to. If a plan contains five tasks, but your user group
has been assigned to three tasks, you'll see only those three tasks.
If you are a plan co-owner and open the plan using the
View plan option, you can see all members in data
accountability tasks, including members that are not assigned to a
Workspace group as a contributor or approver. In this case, plan
co-owners can also act on behalf of any member by changing the workflow
state.
Procedure
-
There are several ways to open a plan or task for contribution:
- On the Planning Analytics home page, click the Applications and
plans tile, then click the Actions icon
on the plan you
want to use and select Open.
- On the home page, click the Home icon
, then click
Applications and plans. Click the Actions icon
on the plan you
want to use and select Open.
- From your email inbox, you might receive an email
notification (at the plan administrator's discretion) informing you when a task to which your group has been assigned is opened. The email
contains a link directly to the task in the plan. You can click the link to open the task and begin
your contribution.
The plan opens in the contribution page. If you open the plan from the home page,
the first asset from the first task to which you have access is open and ready for your
contribution. If you open the plan from a link in an email notification, the specific task mentioned
in the email is opened.
The left pane of the contribution page shows the tasks and other
information you need to work with the plan.
Note: If you are assigned tasks for
contribution and approval, the tasks are separated under these two tabs on the contribution panel:
Approve tasks and
Contribute to tasksIf you close the contribution panel, the interface retains your preference and
the contribution pane stays closed the next time you log in and open any plan or application unless
you open the contribution panel again.
The contribution panel contains the following elements:
- Plan name
- The name of the plan is displayed at the top of the contribution panel.
- Plan announcements
- The announcements display in reverse chronological order, with the most
recent announcement appearing first. Click View all to view all announcements
or click the arrows to scroll through announcements.
- Task list
- You can see all tasks that your user group has been assigned to in the
Task list.
- Due date
- Select a task from the Task list to see the Due
date for that task.
- Task assets
- The assets associated with the selected task are displayed for you to work on.
- Submit and Complete buttons
- Tasks in a plan can be configured by an administrator to require submission. If a
task requires submission, the Submit button is available. After submission,
you can use the Revert submission button for regular tasks or the
Revert member submission button for data accountability tasks to undo the
submission if needed.
- If a task does not require submission, click Complete to indicate that
the task is complete. Task completion can be managed through the Manage
completion and Revert member completion buttons.
- Complete your contribution to the first asset.
- Click the next asset you want to work on and complete your contribution. Repeat until
you've completed all your required contributions.
Though tasks are numbered sequentially,
you can work on tasks or assets in any order.
- If a task requires explicit submission, click the Submit button
after you've finished working on all assets in the task.
If your task
does not require submission, click Complete instead. Confirm completion by
clicking Complete in the window that opens.
- If the task requires submission and you are a member of multiple groups that are assigned
to the task, click the Select list and choose the user group on whose behalf
you are submitting your plan contributions. Optionally, you can choose Submit all
groups to submit the plan on behalf of all groups to which you belong.
If you
are a member of only one user group assigned to the task, or if just a single user group is assigned
to the task, you can't choose a user group; the submission is automatically made on behalf of your
user group. You can also optionally enter a message to accompany your submission. The message can be
viewed by your Planning Analytics Workspace administrator
while managing submissions.
- Click Submit to confirm the submission.
When your submission is complete, a status message displays below the task assets indicating the
time and date of your submission.
- When you're done working, you can close the plan from the Planning Analytics Workspace Home menu.
