Configure financial rules for transfer order

You can set up financial rules when a transfer order is sent for payment authorization.

To define Financial Rules for transfer order:

Procedure

  1. Navigate to the Transfer Order Financial Rules screen. To navigate to the Transfer Order Financial Rules screen, perform the following steps:
    1. Log in to Sterling Business Center as a system administrator or a system setup administrator.
    2. From the System Setup home page, expand the Transfer Order menu, and then click Financial Rules.

      The Transfer Order Financial Rules screen is displayed.

  2. Configure the following Basic details:

    Field Description
    Use Same Authorization Multiple Times Select this box if you want to use the same authorization for multiple transactions.
    Validate Charge Name Select this box if the system must validate if the charge names used for an order document exist in the system before it proceeds with the payment collection.
    Enable Payment Card Type Configuration Select this box to enable different configurations for credit cards.
    Postpone Payment Processing Until Pick Up Select this box if you want to postpone the payment processing of all the order lines with the fulfillment type as "Pick Up". For example, if you choose to order an item either online, or choose to pay at the store, or order in a store, and choose to pay in any other store, then, the payment processing of those order lines is postponed until the item is picked.
    Charge Ship To Home Order Lines At Store Select this box if you want the enterprise to collect the funds immediately for all the orders that are shipped to home.
  3. Configure the following Invoice details:

    Field Description
    Do Not Allow Debit And Credit Invoices To Settle Each Other Select this box to ensure that positive and negative transactions are not able to negate each other.
    Do Not Consolidate Settlement Or Refund Requests Across Invoices Select this box if you want to charge and refund each invoice separately. If this box is cleared, payments are consolidated.
    Create Invoice Before Order Or Shipment Select this box if you want to create an informational invoice before an order or a shipment.
    Apply Price Change To Invoiced Quantity Select this box to apply the price changes to the invoiced quantity. If this box is cleared, then price change after invoicing is not applied to the order.
    Prioritize Invoiced Status Over Request Charged For Asynchronous Processing Select this box if you want invoiced orders to remain in INVOICED status when asynchronous payment requests are made on the orders. If the box is cleared, orders move to REQUESTED_CHARGE status, which indicates that there is a pending charge on the orders. By default, this option is enabled.
    Invoice Open Header Charges/Taxes On Invoice Complete Check this box if you want all the open header charges and taxes to be invoiced when an order is moved to the Invoice complete status.
  4. Configure the following Refund details:

    Field Description
    Allow Refunding Of Negative Debits Before Sufficient Collection Has Occurred When Do Not Allow Debit And Credit Invoices To Settle Each Other is checked, this financial rule determines whether the credit memo must refund immediately or wait until there are sufficient credits to refund on the order. This rule applies only to sales orders.
    Note: The amount to refund cannot exceed the total order amount.
    Allow Refund To Exceed Charged Amount Select this box if you want to allow refunds of unlimited amount for an order.
    Note: If this rule is enabled, it supersedes the Allow Refunding Of Negative Debits Before Sufficient Collection Has Occurred rule.
    Disassociate Payment Processing Of Advanced Prepaid Exchange Order From Return Order Select this box if you do not want to transfer the fund between a return order and an advanced pre-paid exchange order. When a return order is invoiced with this check box selected, the amount is refunded to the payment method of the corresponding sales order. The payment method on the advanced pre-paid exchange order is charged for the entire amount of the advanced pre-paid exchange order, and is refunded for the entire amount of the return order.
    Note: If this check box is selected, then the return order invoice details would contain the details of the refund.
    In a blind return order, if this check box is selected, the amount is refunded to the payment method of the blind return order.
  5. Configure the following Other details:

    Field Description
    Expiration Period for Authorization Enter the number of days before the authorization expires at which a reauthorization request is automatically created by the Payment Collection time-triggered transaction. For example, if an order expires on 4/15/2013, and the fixed number of days is 4, then the reauthorization request is created on 4/11/2013.
    Charge Name for Shipping Select the charge name that represents the shipping charge to be used for a quote.
    Hold To Be Applied Due To Insufficient Funds In Customer Account Select this box for cases in which a customer account contains insufficient funds to complete a transaction. The hold is triggered internally by the system, and therefore, must not be set to automatically apply in the hold configuration.
    Create Shipment Invoice for Bundle Parent on Invoicing Of
    • All Bundle Components: Select this box to create a shipment invoice for the bundle parent when all the bundle components are invoiced.
    • First Bundle Component: Select this box to create a shipment invoice for the bundle parent when the first bundle component is invoiced.
    For Pricing Confirmed Orders, Use:
    • System Date: Select this field if you want pricing to be based on the current system date.
    • Order Date: Select this field if you want pricing to be based on the order date.
  6. Click Save.
