Searching inventory

The Inventory page provides a simple user interface to search for and view all the inventory available in your system. From the search results, you can drill down into the details of the item and perform various inventory actions.

Procedure

  1. Log in to Order Hub.
  2. Click Inventory (Inventory icon that looks like 3 boxes stacked on top of each other beside a single box) and select Search.
    Note: By default, the inventory search uses the IBM® Sterling™ Intelligent Promising data model. To keep the previous look of your inventory page, see the Inventory setting in Configuring settings.
  3. Deprecated featureThe inventory search page displays the alert thresholds that are active. Administrators can configure alert thresholds under Settings > Thresholds.
  4. Customize search criteria provides the capability to configure the search fields that display on the page. This option provides other fields to help you narrow your search results. In the Customize search page you can update the search criteria and click the save icon to save the criteria for future searches. You can also create your own group of search items to be displayed in the search field.
    Note: To improve performance, you can limit the number of search results by defining specific search criteria. For example, you can configure certain fields such as Item ID to be mandatory when users perform inventory searches. For more information, see Configuring settings. You can also limit the search results from the Customize search page by selecting the desired value in the Maximum records field.
  5. You can search for all inventory (default option) or you can select your saved search criteria from the drop down list.
  6. From the Enterprise list, select the enterprise within which you want to search for inventory items.
    Note: The Enterprise list is displayed only if more than one enterprise exists within your network. If your network has only one enterprise, it is selected by default.
  7. You can search for a specific item or SKU or view all the inventory in the selected enterprise:
    • To search for a specific item or SKU, enter the complete item ID or SKU in the Is field.
    • To search by using a part of the item ID or SKU, enter a part of the search string in the Contains field.
    • To search by using the starting number of the item ID or SKU, enter the starting search string in the Starts with field.
    • To view all the inventory in the selected enterprise, leave the Item ID or SKU field blank.
    Note: The search is case-sensitive.
  8. Select the product class of the item or SKU from the Product class field. Product classes depend on your tenant and your definitions. For example, NEW, Damaged, Good, and Open box.
  9. Select the unit of measure of the item or SKU from the Unit of measure field. Unit of measure depends on your tenant and your unit of measure definitions. For example, Case or Each.
    Note: You can enable or disable Product class and Unit of measure features globally for your tenant. You can update these changes under Settings > Configuration tab.
  10. Include unpublished items: Enable this toggle button to see the unpublished items in the search results.
  11. Include zero inventory items: Enable this toggle button to view items that have zero inventory.
    Important: This capability is available only for IBM Sterling Global Inventory Visibility users.
  12. Item characteristic: You can include a specific item characteristic when searching for an item, such as an item with variation, a regular item, or a bundle.
    Important: This capability is available only for IBM Sterling Intelligent Promising Inventory Visibility users.
  13. Searching by Date range: Select the date range to filter the search. The default date is set to the current date: Today. You can also select other options such as Next 7 days, Next 14 days, Next month, Next 3 months, or Next 6 months.
  14. Custom range: You can also select Custom range and choose either Relative or Absolute date range.
    • Relative date range: you can select a date and time that is relative to the current date. Using relative date range provides you with a way to create inventory reports that you can run periodically without needing to alter your query.
    • Absolute date range: you can select a start date and time, and select an end date and time. The data items are displayed whose beginning and end dates and times are within the specified date range.
  15. You can use more Inventory filters for searching an item or SKU.
    1. You can search for inventory by Location. You can either search by node, distribution group, or all nodes.
      • Node: Select Node and click Select nodes to search for an item by node. In the Select nodes page, select the nodes from the given list and click Save.
      • Distribution group: Select Distribution group to search for an item by distribution group. Select the distribution group from the Inventory distribution group list.
      • Consider all nodes: Select Consider all nodes view a list of nodes and distribution groups that have inventory. When this option is selected, all the actions from the search results table such as adjust safety stock, adjust inventory, and transfer inventory are disabled except for view details. These actions can be done from the details page.
      Important: The location capability is available only for IBM Sterling Global Inventory Visibility users.
    2. You can search All inventory or you can search inventory by Segmentation type.
      • Searching by unsegmented inventory: The Unsegmented inventory option is selected by default. Unsegmented inventory is used to search for inventory that is available to all and not for a particular segment.
      • Searching by segmented inventory: Select Segmented inventory to search for an item or SKU by segments. Segments represent items that are allocated for a particular customer. Select the segment type from the Segment type list and segment from the Segment list. Select the segment type from the list, or enter the segment name in the Segment field.
      • Searching by all inventory: Select All inventory to search for both unsegmented and segmented inventory.
      • The Adjust inventory action is hidden on the item details, SKU details page and on SKU search results when all inventory is selected.
      Important: The segmentation capability is available only for IBM Sterling Global Inventory Visibility users.
  16. Click Search.
    The Search results page displays a list of valid entries for items and SKUs. It has the item name, variation, unit of measure, and product class details.
  17. You can also save the search. Save search saves the search criteria for future use. After you save, you can reload the saved criteria by clicking Saved searches and select your saved search. You can also perform other actions such as edit, delete.
  18. Click a search result to view more details. The information that is available depends on the item level that you are searching.
    Important:
    • The save search capability is available when using IBM Sterling® Order Management System and IBM Sterling Global Inventory Visibility users.
    • The save search capability is available when using IBM Sterling Order Management System and IBM Sterling Intelligent Promising Inventory Visibility.
    • The save search capability is not available when using only IBM Sterling Intelligent Promising Inventory Visibility.

Results

You can perform various actions such as viewing the item or SKU details page, adjust safety stock, set fulfillment options, and transfer inventory.
