Defining a workflow action that populates answers in a questionnaire assessment

You can configure the Questionnaire Assessment Workflow to get answers from the values of an associated field.

Before you begin

Associate the answers to a question in a questionnaire template.

For more information about associating fields with answers to a question, see Associating answers to a field.

About this task

To do this task, you must be an administrator with the application permission SOX > Administration > Workflow.

Procedure

  1. In the GRC Workflow Designer, click the action that you want to edit.
    The Action Properties panel opens.
  2. Expand Validations and Operations.
  3. Click New Operation. The Operations panel opens.
  4. In the Operation field, select Set questionnaire answers with related field value.
  5. Enter a Name such as Related answers.
  6. Optional: You can define one or more conditions.
    For more information, see Defining conditions.
  7. Set Execute As System to False to run the action as the logged in user. Set Execute As System to True to run the action as the OPSystem user. The action can then perform operations that the logged-in user cannot. The history on the Activity tab shows OPSystem as the user who performed the action.
    When you set Execute As System to True, all set field operations where Target Objects is set to Self run as the OPSystem user.

    The setting of Execute As System doesn't affect the applicability check on the workflow.

  8. Optional: Click Override user answers with related field value to True to override answers already entered manually.
  9. In the Operations panel, click Done. Click Publish to publish the workflow.

Results

All questions with applicable linked fields are only populated with those field values when the questionnaire assessment workflow runs. The questions are not populated dynamically when the field values change.
