New features in version 9.2.0

The OpenPages® 9.2.0 version includes new capabilities in GRC Canvas, more efficient user task experiences, new and enhanced features in AI, questionnaires and administration.

GRC Canvas

Pre-populate Canvas with multiple objects

When you create a canvas, you can now select multiple objects to include by choosing object types and filters. You can also choose the fields and colors for the canvas.

The following features are available to pre-populate a canvas:
  • Select object types and filters to populate the canvas
  • Choose fields and colors for canvas objects
  • Maximum of 200 nodes per canvas to ensure performance and usability
  • Configuration can be saved as a template for future use
Add favorite canvases to your dashboard

You can now mark canvases as favorites and display them in a new dashboard panel called Favorite Canvases.

The following features are available to add favorite canvases:
  • Mark a canvas as a favorite (similar to object favorites)
  • Add a Favorite Canvases panel to end user dashboards
  • Add a Favorite Canvases panel in Dashboard Admin
  • Canvas description is displayed and wrapped in the panel

Create and manage canvas templates in Canvas settings administration page

A new Canvas settings page is available for administrators where new canvas templates can be created and managed.

Task-focused UI enhancements

Preview attachments in OpenPages

You can now view PDF, text, and image files directly in OpenPages without downloading them. Files are rendered in an OpenPages tab to ensure content is no longer accessible when the session expires.

The following features are available to preview files:
  • View PDF files in embedded within OpenPages
  • Preview text and image files directly in the application
  • Content is displayed in an OpenPages tab for security
  • Download button available for saving files locally
  • Full screen viewing option
  • For Microsoft Office documents on Windows, existing view functionality through Office apps is maintained for backwards compatibility

This preview feature improves document accessibility and security by allowing users to preview attachments without leaving the OpenPages interface or downloading files to their local system.

Expandable and resizable Quick View side panel

You can now resize the Quick View side panels that open task views by using the mouse. The panel size is retained across different object types during your session.

The following features are available to resize the Quick View panel:
  • Resize the side panel by using the mouse
  • Panel size is retained across all object types in your session
  • Consistent panel size when you switch between different object grids

Hide empty workflow dashboard tabs

Administrators and end users can now hide workflow dashboard tabs that contain no data. When this option is enabled, tabs are hidden by default unless they contain items, reducing confusion for users who see multiple dashboard tabs.

The following features are available to hide empty workflow dashboard tabs:
  • Hide workflow tabs by default when they are empty
  • Tabs automatically appear when they contain items
  • Hide if empty option available for dashboard configuration
  • Reduces clutter and improves dashboard usability
Improved Quick View ease of use

Quick View behavior is improved for better usability.

The following features are available in the improved Quick View behavior:
  • Clicking on a row opens Quick View in the side panel by default
  • Clicking on a link still opens the task view in a new tab
  • Registry setting available to revert to previous behavior if needed: /Applications/GRCM/Filtered List/Open quick view on row click where the default value is True

View object date fields in user's time zone

Date fields are now displayed in the user's time zone. This is different than timestamp fields. This enhancement follows the system date time zone support and ensures consistent date display across the application.

Local time zone in workflow expressions

Local time zone settings are now reflected in workflow expressions for date variables such as [$TODAY$], and system workflow fields, ensuring consistent date display across workflow operations and activity logs.

AI enhancements

AI-Driven File Analysis in OpenPages with BYOM

You can now provide files as input to Bring Your Own Model (BYOM) AI operations. This capability allows supported AI models to analyze document content and use it to populate fields or perform analysis based on the uploaded files.

What this means for you:
  • GenAI can automatically review, summarize, and interpret uploaded evidence
  • AI Agents can take files as input, enabling richer and more dynamic interactions
  • Gain faster insights and improved automation in workflows involving documents, attachments, and other supported file types
Note: In OpenPages version 9.2, file upload support is available only for Gemini and OpenAI models and only one file can be uploaded at a time to the machine learning model.
Watsonx Orchestrate native chat integration

You can now access an embedded watsonx Orchestrate chat within OpenPages, enabling quick and intuitive interaction with AI Agents that can use tools from the OpenPages MCP Server, among others — without leaving the platform.

Enhanced BYOM troubleshooting: Administrators can now test a model configuration before using it in runtime

A new test page is available for custom AI model configuration to improve usability and validation. This feature addresses the challenge where clients previously had to wait until runtime to see model outputs and validate their JSONata mappings.

The test page allows you to:
  • Test custom AI models before deployment
  • Input test data for AI operations
  • View JSON responses returned by the model in real-time
  • Validate JSONata expressions against model responses
  • Identify configuration issues before runtime
  • Reduce debugging time by testing configurations upfront
This enhancement streamlines the setup experience and improves the reliability of all Custom AI model integrations.
Note: Testing models with file upload is not currently supported.
IBM OpenPages MCP Server (not deployed with OpenPages)

The MCP server is open source and can be deployed either locally or remotely. It provides a standardized interface that enables AI agents to perform operations on OpenPages objects, such as issues, risks, controls, and more.

IBM OpenPages MCP Server V2 enhancements include:
  • Remote MCP server support
  • Object Model driven tools
  • Rationalized object‑specific tools to reduce the total number of tools required per object type
  • Operational readiness (logging, metrics, health checks, containerization)
  • Security and access control enhancements
  • Context aware tools – currently supported for authenticated users using Orchestrate embedded chat in OpenPages only
Note: In the 9.2 version, the MCP server is not deployed with OpenPages but can be deployed locally or remotely. To get started on configuring your MCP server, follow the guide in the opensource IBM OpenPages MCP server repository.

Questionnaire enhancements

Multi-language support for questionnaire templates

Questionnaire templates now support multiple languages, allowing template authors to translate content and users to view questionnaires in their preferred language.

The following features are available for multi-language support:
  • Translate button available for all questionnaire components
  • Support for translating questions and rationale
  • Translate section titles, descriptions, and rationale
  • Translate sub-section titles, descriptions, and rationale
  • Translate introduction titles and descriptions
  • Translation interface with pop-up window showing different languages and text boxes
  • You can switch languages from the user menu by changing locale
  • Translations are reflected in both questionnaire templates and assessments
  • Template authors can add translations for multiple languages during template creation
  • You can change your locale from the user menu to view questionnaires in your preferred language
  • All translated content is automatically displayed based on the selected locale
  • Consistent translation support across all questionnaire components

A possible use case is organizations with global operations can create questionnaire templates once and provide translations for different regions, ensuring users can complete assessments in their native language while maintaining consistent data collection across the organization.

This enhancement significantly improves accessibility and usability for international organizations using OpenPages questionnaires.

Six-level question dependencies in questionnaires

Questionnaire templates now support up to six levels of dependent questions, increased from the previous three-level limit. This allows you to create more complex assessment flows with deeper question hierarchies.

The following features are available for the new six-level question dependencies:
  • Create up to six levels of dependent questions in questionnaire templates
  • Questions can be dependent on answers from up to six levels above
  • Works across sections and subsections
  • Auto-numbering supported for nested questions
  • Display logic based on question-based conditions
Email and URL fields in questionnaire answers

Questionnaires now support email and URL field formats as answer types. You can select these options when you configure question types. You will not be able to associate answers with email and URL fields.

User and group field in questionnaire answers

Questionnaires now support user, group fields or user/group fields as answer types. You will not be able to associate answers with the user or group answer types.

The following features are available for user and group field answer types:
  • Select single users
  • Include user groups in selections

Admin controls and configurations

Add, delete, or disable relationships

You can now add, remove, or disable child relationships for both parent and children by selecting relationships in the grid. Multi-select is supported.

The following features are available to add, delete, or disable relationships:
  • Add, delete, or disable relationships directly from the grid
  • Confirm critical operations with a confirmation modal
  • Prevent circular relationships with automatic validation before adding or enabling associations
  • Receive enhanced notifications to prevent relationship conflicts
  • Disable conflicting relationships before you create new associations that would cause circular references
Tags in Cognos reporting

When enabled, tags are now available in Cognos reporting. You can add tags to your reports for better organization and categorization.

Schedule move and rename jobs

You can now schedule entity and non-entity move jobs for a custom date and time.

The following features are available for scheduling entity and non-entity move jobs:
  • Create entity or non-entity move jobs from the Move/Rename settings
  • Schedule jobs for a specific date and time
  • Jobs are added to the Move/Rename queue with pending status
  • Run scheduled jobs instantly if needed, even with a scheduled time set
  • Job status is updated when the scheduled job completes

System maintenance mode (SMM)

System maintenance mode (SMM) is a new capability that provides an administrator with the ability to control “maintenance windows” allowing only a subset of users access to the system.

The following features are available in SMM:
  • Configure maintenance windows specifying user groups allowed access and the message to display for locked-out users
  • Complements the existing System admin mode (SAM) that is used to set the required state for certain Administrative operations.

Configuration Packaging

Simplify deployment and configuration management through the NEW configuration packaging capability.

Configuration packaging is a new capability that provides greater control over the existing Import/Export Configuration. It provides a grouping and lifecycle for managing selections of configuration changes from a source environment that can then be promoted and deployed to a target environment.

The following features are available in the new configuration packing capability:
  • Creating/editing a package by selecting items from the source environment to include (Profiles, Views, Workflows etc.).
  • Viewing dependencies for each selection (If a profile is selected , indicate the object types and fields that come with it).
  • Publishing a package based on the current state of the selected items and dependencies.
  • Exporting a package providing a downloadable asset that can be delivered to a target environment.
  • Importing a package onto a target environment (without deploying) for comparison.
  • Deploying a package to validate and apply the associated configuration changes to the target environment.
  • Comparing package contents with a source environment’s configuration.
Syncing Active Workflows to Latest Updates

A new Sync feature has been added to the Workflow Instances page. When edits are made to stage‑level workflow properties, users can manually sync the workflow to ensure that the updates are applied to all active workflow instances currently in that stage.

The following features are available in the new syncing capability:
  • Users can manually trigger a sync action after editing stage‑level workflow properties.
  • Sync applies only to workflow instances currently in the affected stage.
  • Eliminates the need to manage exceptions or manually update individual instances.
  • The sync operation does not affect completed workflows or instances that have already moved past the stage.
The following are a few use cases where the sync feature can be implemented:
  • An Administrator discovers that a reminder or due date needs to be edited or was incorrectly configured for a workflow stage.
  • The workflow requires the addition or change of an assignee at a specific workflow stage.
Save records in OpenPages when working in a helper application

You can now save records directly from helper applications without exiting the task view. This feature enables interim saves while working in helper applications, preventing data loss if sessions are unexpectedly terminated.

The following features are available when saving records in a helper application:
  • Make API calls from helper applications to save records
  • Perform periodic saves while continuing to work in the helper application
  • No need to exit the helper and return to the task view to save
  • Improved user experience when collecting large amounts of information in helper applications
  • Protects work from session timeouts and unexpected interruptions

A use case can be when working in a helper application that collects extensive information, you can save your progress periodically without interrupting your workflow, ensuring data is preserved even if the session times out or other issues occur.

This enhancement significantly improves the user experience for helper applications by allowing users to save their work incrementally rather than risking data loss by having to complete all work before saving.

View Designer keyboard accessibility

Keyboard accessibility is improved in the View Designer, ensuring better compliance with accessibility standards.

URL_REPLACE_FROM_REGISTRY function for Cognos reports

A new database function URL_REPLACE_FROM_REGISTRY is available for report authors. This function replaces relative URLs with fully qualified URLs, making links clickable in Cognos reports.

Drop support for Cognos 12.0.x

OpenPages 9.2 supports only Cognos 12.1.0 and higher 12.1.x. Support for Cognos 12.0.x and Java 8 on the report server is removed.
