Exporting questionnaire assessments and questionnaire templates
Applies to: All deployment types
Use FastMap to export questionnaire assessment field data. Use environment migration to export questionnaire templates.
Questionnaire assessments
When you use FastMap to export a questionnaire assessment, the fields are exported with the assessment. For example, the fields that are displayed in the Task and Admin views for a questionnaire assessment are exported with the assessment.
To export the answers from a questionnaire assessment, see the Questionnaire responses section below.
Questionnaire templates
If you want to export a questionnaire template with question dependencies, response actions, and other data, use the environment migration capability.
In versions of OpenPages® before 9.0.0.2, you used FastMap to export questionnaire templates into a Microsoft Excel workbook. However, in version 9.0.0.2, the data that is associated with questionnaire templates became too large to export to a workbook. Instead of creating a workbook, the environment migration export creates a JAR file.
In OpenPages 9.0.0.5 and later, single- and multiple-choice question options now include an additional label tied to the option’s text, while the option names act as stable unique identifiers. Updating any option text changes the label but not the name. In exported questionnaire temple XML source, users will see the option name, which may now differ from the visible label.
If you rename an existing questionnaire template, and then import an older version of that template with the former name, the system will create a new, empty template object with the imported object's name. All sections, sub-sections, and questions will be updated under the existing, renamed questionnaire template.
- Use "Create from Copy": Instead of importing an older version, use the Create from Copy feature to create a new questionnaire template based on an existing one. This ensures all questions and logic remain intact.
- Import into a different folder: If you must import, select a different folder during the import process. This creates a new object and preserves the original questionnaire in its current form.
For more information about using environment migration, see Migrating OpenPages environments.
Questionnaire responses
A questionnaire's responses can be exported into a Microsoft Excel workbook when a questionnaire reaches the review, approval, or closed stage in the workflow. The Export answers button is located on the Questionnaire tab, below the progress bar that tracks the completed questions. The exported file includes all visible questions, whether or not they have been answered. Response comments and file attachments are not included. The exported file also includes the assessment object's fields determined by the fields available in the admin view.
