Using Grid Views to find, open, and work with objects

A Grid View is a list of objects.

In a Grid View, you can perform the following tasks:

  • Filter the list.
  • Export the list.
  • Select a specific object to open.
  • Create, delete, lock, and unlock objects.
  • Change fields across multiple objects.
  • Apply or remove tags across multiple objects.
  • Change the layout of the objects to a list or card layout.

About this task

Grid Views function the same across all object types. The field columns in the list layout vary, depending on the object type. In a card layout, the fields and tags are displayed within the card that represents each object.

Your administrator might have set up a nested Grid View for an object type. A nested Grid View displays the children of a specified object type and descendants of specified object types for each child. Each level of objects is indented to provide a visual representation of the relationships between the objects. For example, the following figure shows the structure of a Business Entity, its child Processes, and its grandchild Risks.

A nested Grid View has the following features:

  • When you first view a nested Grid View, the children of the current object are shown. You can click Expand Chevron to expand the current object on an object to see its children and Collapse Chevron to collapse the current object to hide them. To collapse all of the expanded levels in the grid, click Collapse All Chevron to collapse all levels in the leftmost column of the header row.
  • When multiple object types have a field with the same label, the values for that field are placed into a column with the word Multiple in the column header. For example, in Figure 2, Processes, Risks, and Controls share the Status column because these object types all have a field with the label Status.

    Columns labeled as Multiple are always displayed in the leftmost columns.

    If a field is not configured for the object type or if doesn't apply to the object, the column for that field appears in a different color than the rest of the row.

  • You can search, sort, and run batch actions on the top-level object type but not on the other levels.
  • When there are more than 10 objects in a level, a pagination bar is displayed so that you can page through the objects on that level.

Procedure

  1. Open a Grid View.
    There are numerous access points for Grid Views, for example:
    • Click Primary menu Primary menu icon. Find the object type that you want to work with. A Grid View opens.
    • Click a color in a chart in a Task View or on the Dashboard. A Grid View opens with the objects in that portion of the chart.
  2. Take any of the following actions:
    • Use the scroll bar at the bottom of the page to see all of the columns in the Grid View list layout. When you scroll horizontally, the leftmost column stays in place so that it is always visible. In the card layout of the Grid View, you can scroll inside each card to view the fields.
    • Your administrator may have set a default layout of the Grid View, but you can still change the layout for your convenience. To change the layout of the objects to a card layout, click the Card icon Card layout icon for a grid view. To change the layout of the objects to a list layout, click the List icon List layout icon for a grid view.
    • Click the name of an object that you want to work with to open it, or hover your mouse pointer over the object and click Open quick view Open quick view button to view or edit the object in a side panel.
    • Click in the search box and enter search criteria.

    • Click filter icon to access filters that help you quickly find objects that you want to work with.

      After you apply a filter, you can enter search criteria in the search box to narrow your search even further.

      Click the filter name in the header to remove the filter.

    • Select or clear the filter that is displayed at the top of the grid, if one is displayed. The name of the filter depends on how your system is configured. If the object type uses workflows, the Active Only filter might be displayed. Clear Active Only to include objects in the list that have completed a workflow. Objects that did not yet go through a workflow and those that are actively in a workflow are always listed. If Active Only is not displayed, no workflows exist for the object type.
    • Export all or selected objects into a spreadsheet. For information, see Exporting data from filter results.
    • Click Complete task with bulk workflow actions, if it is displayed, to quickly complete workflow items. For more information, see Completing bulk workflow actions in a Grid View.
    • Select all, one, or many objects with the check mark and then you can delete, lock, unlock, or export them.
    • Select all, one, or many objects with the check mark and click Bulk Update to change field values across multiple objects. For more information, see Applying changes to multiple objects with bulk update in a Grid View.
    • Select all, one, or many objects with the check mark and click Manage tags to apply or remove tags across multiple objects. For more information, see Adding and removing tags from multiple objects in a Grid View.
    • Select all, one, or many objects with the check mark and click Move icon to move the objects to another folder. Choose the destination of the selected objects and click Confirm. For business entities, self-contained objects, and security model objects, selected objects are moved by using a long running process. This enables a user to reorganize business entity structures. A move cannot be undone.

      Whether you can move objects depends on your permissions and how your system is configured.

      Note: If a move involves many objects, perform the move after business hours to reduce the impact on system performance.
    • When you're in the list layout, click a field name in the header row to sort the list by that field in ascending order. Click the field name again to choose descending order. You can't sort the objects in the card layout.
    • Click New button to create a new object. Whether the button is displayed depends on how your system is configured.
    • Choose a value in Items per page to control how many objects are listed on a single page.
If you access an object type that does not have an enabled, valid Grid View, no view is displayed.
